Position Highlights

The Curricular Affairs Office within the College of Medicine-Tucson is seeking a detail-oriented and organized individual to join our team as a part-time in-office Administrative Assistant. This role primarily involves supporting our curriculum mapping efforts by ensuring accurate data input, identifying and correcting errors, and assisting with various administrative tasks. The ideal candidate will have excellent attention to detail, strong organizational skills, and the ability to work independently within the scope of Administrative Support.

Duties & Responsibilities
  • Enter, update, and verify accuracy of curriculum mapping data in the system using Excel and word, while ensuring consistency with source documents.
  • Conduct quality assurance checks to identify and correct discrepancies in the data.
  • Collaborate with the Curricular Affairs team to resolve data issues and maintain accurate curriculum maps that meet program requirements.
  • Maintain and organize curriculum mapping files and related documents, ensuring they are up-to-date and easily accessible.
  • Assist in keeping curriculum map reports standardized and aligned with program requirements.
  • Provide administrative support to the Curriculum Management team, including scheduling meetings and coordinating appointments.
  • Assist with various clerical tasks, such as typing minutes and updating manuals or resources as needed.
  • Oversee daily office upkeep, including visitor check-in, package handling, and maintaining clean and organized shared spaces.
  • Attend monthly Curricular Affairs and Staff meetings.
  • Attend TCMS bi-weekly and TCCS monthly meetings.
  • Attend department and college-wide events related to the program and provide support, as needed.
  • Collaborate for coverage and support with the Curricular Affairs Administrative Team.
  • Provide support to the Curricular Affairs team as needed. Perform other duties as needed or assigned to support departmental goals.

Knowledge, Skills and Abilities:

  • Proficiency in using computer software, particularly Word and Excel.
  • Knowledge in Polling Software and calendar management.
  • Knowledge using Word, Excel and Google Sheets.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management skills to prioritize tasks effectively.
  • Ability to work independently and collaboratively within a team when required.
Minimum Qualifications
  • High school diploma or high school diploma equivalency is required.
Preferred Qualifications
  • Prior experience in education is preferable but not required.
  • Prior experience in data entry, administrative support, or educational settings is desirable but not required.
  • Pursuing or possessing a degree in a relevant field.
  • Strong attention to detail and ability to accurately handle complex data.
  • Flexibility and adaptability to handle changing priorities and tasks.
  • Demonstrated professionalism, integrity, and confidentiality in handling sensitive data.
