Property Coordinator

A leading real estate development and commercial property management company is seeking a Property Coordinator to join the team. In this role, you will facilitate, organize, and coordinate tasks related to the maintenance and operations of a property portfolio. The ability to multitask, prioritize, and complete assignments in a timely manner is essential. This role requires someone who is self-motivated, detail-oriented, and an effective communicator with the ability to ensure clear follow-through between team members. You will provide support to and act on behalf of the Property Manager in the following areas:

Responsibilities include:

  • Field all telephone calls and online work orders, assigning them to the appropriate team or building staff member.

  • Manage the online tenant work order system.

  • Greet clients and guests as they arrive.

  • Maintain tenant and vendor files in both hard copy and electronic formats.

  • Process Accounts Receivable by entering cash receipts into the property management system weekly.

  • Process Accounts Payable by coding and entering invoices into the property management system weekly.

  • Assist with rental collections from tenants and invoice collections from vendors.

  • Support tenant move-in process, including preparation of welcome packets, coordination of lease agreements, distribution of keys/key fobs, and collection of emergency contact information.

  • Support tenant move-out process and prepare related documentation.

  • Attend internal and off-site meetings, prepare agendas, take meeting minutes, and maintain records for reference.

  • Complete and submit vendor forms and updated vendor information as needed.

Qualifications:

  • 1-2 years of experience as a Property Coordinator in commercial real estate.

  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.

  • Experience with MRI Accounting Software and/or Yardi Accounting Software preferred.

  • Strong time management, organizational, and interpersonal skills.

  • Previous commercial real estate industry experience.

  • Ability to work in a fast-paced environment with rapidly changing priorities while remaining flexible.

  • Team-oriented mindset with an entrepreneurial spirit.

  • Excellent communication skills with the ability to interact effectively with tenants, vendors, clients, and team members.



Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
