Department Summary

The mission of the Division of Student Affairs is to create transformational experiences for all HSC students by providing tailored support and fostering holistic development. There are 8 functional units within the Division of Student Affairs: Center for Student Life, Career Readiness Center, Center for Academic Performance, Office of Care and Civility, Testing and Evaluation Services, International Services, Office of Disability Access, and Student Assistance Resource Center.

Position Overview

The selected candidate will provide high-level administrative support to executives by conducting research, handling information requests, and performing clerical functions such as preparing correspondence, managing websites, arranging travel, and scheduling and supporting meetings. This person will be expected to work independently with limited direction while interacting with both internal and external stakeholders. This is included but not limited to Deans, Department Chairs, accrediting agencies, consultants and vendors. Discretion and confidentiality are key tenants of this position.

Minimum Qualifications

Bachelor's degree and three (3) years of related experience; or any equivalent combination of education and experience.

Knowledge, Skills and Abilities



  • Advanced MS Office skills.
  • Knowledge of accounting/budgeting procedures.
  • Demonstrated ability to effectively communicate verbally and in writing at an exemplary level.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.

Job Duties:



  • Exercise independent judgment in bringing information and issues relating to the affairs of the division to the attention of the Vice Provost and other divisional leaders. Will research issues and formulate solutions to problem solve on behalf of the Vice Provost and other executives.
  • Project management for Division of Student Affairs executives for items related to accreditation for multiple outside accrediting agencies, university procedures affecting all students, and items affecting the entire division of student affairs.
  • Coordinate workflow, communications, processes and procedures for all work done in direct support of the Vice Provost, including Disciplinary Appeal Hearings.
  • Manage and provide guidance for divisional councils, including mentoring, facilitating the professional development of council leaders and the allocation and monitoring of divisional council budgets.
  • Assist the Vice Provost in data collection and report preparation for strategic planning, operational assessments and business plans. These items will be of a both internal and external nature. Examples are items that are sent to accrediting agencies, UNTHSC Provost or President, external and internal auditors, the Texas Higher Education Coordinating Board, Deans and divisional team members.
  • Manage divisional professional development tracking and fiscal approvals and assist with financial forecasting for all fee funded accounts. Assisting with the preparation and development of the annual budget and financial tools and templates for the division.

  • Lifting and Moving objects up to 20 pounds.
  • Sedentary work that primarily involves sitting/standing.
  • Repeating motions that may include the wrists, hands and/or fingers.

Work Schedule:

Monday - Friday, 8:00am-5:00pm, with occasional evenings or weekends required for divisional events.
