JOB TITLE:

Academic Scheduling Coordinator - Office of the Registrar

JOB PURPOSE:

Provide administrative and technical support for the University's 25Live scheduling system and ensure efficient, effective scheduling of instructional and non-instructional meeting spaces across campus. Develop and manage plans for class scheduling and strategic initiatives, analyze classroom utilization, and contribute to continuous process improvement. Support data-driven decision-making through collection, analysis, and reporting of relevant scheduling and space use information.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Provide administrative and technical support for the implementation, configuration, and maintenance of the 25Live scheduling system. Manage user access and permissions to ensure appropriate scheduling capabilities.
  • Assist in the development of unit goals, identify opportunities for process improvement, and implement revised procedures to enhance scheduling operations and efficiency.
  • Lead or support planning, development, and management of new projects and strategic initiatives related to class scheduling and space utilization. Organize and coordinate the implementation and execution of special assignments and programs that align with departmental objectives.
  • Research and analyze emerging instructional methods and pedagogies to support evolving faculty and student needs. Monitor and assess classroom utilization and develop improved strategies for scheduling practices.
  • Compile, analyze, and interpret data related to space use and scheduling. Prepare, write, and present narrative and statistical reports to evaluate effectiveness and inform planning decisions.
  • Coordinate the intake and resolution of scheduling-related petitions and requests in accordance with established procedures, ensuring timely and accurate responses.

SUPPLEMENTAL FUNCTIONS:
  • Coordinate scheduling for events occurring outside of normal business hours, including weekends and evenings; notify relevant campus departments (e.g., Operations, UWPD) as needed.
  • Respond to scheduling-related inquiries and complaints; troubleshoot and resolve problems in a timely and customer-focused manner.
  • Stay informed of emerging technologies in instructional delivery and classroom support systems.

MINIMUM QUALIFICATIONS:

Education: Bachelor's degree

Experience: 1 year work-related experience or equivalent combination of education and experience

Required licensure, certification, registration or other requirements: None

DESIRED QUALIFICATIONS:
  • Organizational Skills: Ability to manage complex schedules and prioritize tasks effectively.
  • Communication Skills: Excellent written and verbal communication skills to interact with faculty, staff, and students.
  • Technical Proficiency: Experience with student information systems and other relevant technologies. Experience using 25Live or similar event scheduling and space management software to coordinate, reserve, and manage campus facilities.
  • Problem-Solving Skills: Ability to identify and resolve scheduling conflicts and other issues.
  • Attention to Detail: Accuracy in data entry and schedule management is crucial.
  • Knowledge of Academic Policies: Understanding of institutional policies related to scheduling and curriculum.
