The department of Libraries at West Virginia University is currently accepting applications for a KARM Student Supervisor.

About the Opportunity

Under the supervision of the Collections Support Manager, the incumbent is responsible for hiring, budgeting, scheduling and coordinating the evaluation of approximately 4-6 KARM student assistants. They will manage student worker special projects and daily tasks, perform copy cataloging, coordinate all physical gift processing workflows, and provide database maintenance support in the library management system.

What You'll Do

Project Management and Support



  • Oversees and coordinates concurrent student projects for all three units (Collections Support, Metadata Services, and Electronic Resources of the Knowledge, Access, and Resource Management (KARM) department), assigns student tasks, monitors, and tracks the progress of these projects, resolves roadblocks, and improves workflows as needed, and reports project milestones to the supervisor or project lead. This requires maintaining a deep understanding of all projects in the department. This position prioritizes/deprioritizes tasks and projects depending on the department's needs.
  • Undertakes a range of project research, analysis, reporting, implementation, and administrative activities to support the development and delivery of projects, in line with established project plans and objectives.
  • Works on special KARM projects as assigned. This could include comparing collections, analyzing overlap, updating vendor information, data cleanup, metadata remediation, document review, or other special projects.
  • Works independently to execute project tasks in a timely manner, meeting task due dates and project milestones.
  • Uses knowledge of various modules of WMS, Acquisitions, Metadata, eResources applications, and other library systems to complete projects.
  • Communicates with project stakeholders across the department and the libraries to clarify project requirements and provide status updates.
  • Provides complex, independent problem solving for issues which involves advanced understanding of the integration of the libraries' knowledge base, bibliographic database. and discovery system and the methods by which resources are accessed through the vendors' databases.


Student Worker Supervision and Library Operations



  • Hires, schedules, disciplines and/or terminates, and develops a budget for 8-10 student assistants in the department. Responsible for training of students specializing in departmental daily receiving/processing tasks (newspapers, periodicals, monographs, labeling, etc.), project workflows, and the library's ILS software, WorldCat Management System (WMS). Writes and updates manual for use in student training. Grants access and role permissions in our library's ILS for students.
  • Incumbent evaluates student worker performance and provides feedback, guidance, and performs progressive discipline of student workers due to performance issues or gross misconduct (i.e., time fraud) and works with the Student Employment office as necessary.
  • Responsible for the student budget and the tracking of each student's Federal Work Study funds or non-salaried spending. Prepares an annual budget request for non-sal student employees based on department needs, current student employees' salaries, and University minimum wage. Provides salary budget oversight for approximately $31,000 total; $13,000.00 of non-salaried hourly funds and $18,000 in Federal Work Study funds. Processes payroll in MAPTIME for all student employees in the department.
  • Manages and submits supply orders for the three Units in the KARM department.
  • Maintains monthly statistics and information on ordering and receiving processes, gifts, and projects/student projects.
  • Provides support to other staff members of the unit to assist in completion of unusually heavy workloads at various points in the year.
  • Participates in department and library wide meetings and training sessions.
  • Serves on appropriate interdepartmental committees as a KARM representative.
  • Identifies and participates in training opportunities specific to the position.
  • Provides statistics for annual reporting.


Collections Workflow Coordination and Gift Processing



  • Corresponds and coordinates with WVU Library donors, and answers questions regarding our gift policies. Arranges donation date/time with donors for small (>20 boxes) medium (20-50 boxes), and large gift donations (50-100+ boxes).
  • Physically accepts all gift donations for all WVU library locations; manages and organizes KARM's gift space for incoming donations, collections, and materials.
  • Coordinates gift processing for all library branch locations in Morgantown. Reviews the library's ILS software to determine if library branches already own the material, sorts the materials for collection or subject librarians' review for inclusion or not into the library's collection.
  • Communicates with librarians on final decisions and determines branch and stack's locations. Processes gift materials that are not suitable for the library's collection for other organizations, including our divisional campuses (Potomac and Beckley); our book reseller, Better World Books; the Appalachian Prison Book Project; the West Virginia Library Commission; or recycling with WVU's Office of Sustainability. Coordinates delivery or pick up of gift materials with these organizations.
  • Identifies records for library use in the OCLC cooperative bibliographic database
  • Performs copy cataloging, subject analysis, and Dewey Decimal and Library of Congress classification.
  • Updates and enhances records in the OCLC cooperative bibliographic database as necessary to meet national cataloging standards as determined by subject specialists and metadata librarians.
  • Oversees incoming/outgoing mail for unit. Opens and sorts all incoming packages and tends to all materials that will be sent in outgoing mail/courier to other library locations.
  • Coordinates with Access Services Mail Room Staff for shipping materials and picking up materials.
  • Maintains end processing duties for materials that are not shelf ready when students are not available.


Pay Grade: 14

Qualifications

  • Bachelor's degree in related field or equivalent combination of experience and education.
  • A minimum of one (1) year of library or technical services experience.
  • A minimum of one (1) year of supervision experience.
  • A minimum of six (6) months of integrated library system experience.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.


Knowledge, Skills, & Abilities



  • Strong organizational skills, ability to manage multiple workflows concurrently.
  • Basic knowledge of bibliographic records and MARC format.
  • Excellent computer skills; must be proficient in the use of e-mail, Microsoft Word, and Microsoft Excel.
  • Excellent interpersonal skills and excellent customer service skills are required.
  • A high degree of oral and written communication skills and critical thinking skills are required.
  • Must be able to work reliably within strict confidentiality guidelines.
  • Must be able to establish priorities and amend duties as needed.
  • Must be able to work independently and use sound judgement.
  • Ability to work effectively and constructively in a team environment with other technical support staff.
  • Must be able to reprioritize and adapt to changes in work environment and contribute new ideas and approaches as changes arise.
