Description
We are seeking a Director of Property Management to provide a values-based model for the future state of property management with elevated customer experience expectations, the adoption of technology for better building operations and analytics and cross-team collaboration throughout the customer journey. This leadership position will drive the growth and development of the property management team, advocating for their continuous improvement while ensuring exceptional customer engagement and experience across all properties. This individual will utilize various operational metrics to quantitively and qualitatively balance customer satisfaction, operational efficiency and financial performance while exemplifying Highwoods core values culture. KEY RESPONSIBILITIES:
- Lead, coach, mentor, develop and support property managers and administrative staff in coordination with the Senior Director of Asset Management
- Research, prepare and implement certain revenue, operating expenses and capital expenditures for building improvements
- Support or manage various assigned asset management projects requiring cross-functional corporate and / or division personnel
- Conduct process reviews to identify opportunities and to evaluate operational effectiveness within Asset Management.
- Maintain contact with customers and owner representatives to ensure solid, reliable relationships including implementation of building specific customer experience programs for the purposes of increasing customer retention.
- Provide leadership with regard to third party service vendors (security, janitorial, operating engineers)
- Develop and implement ideas to reduce operating expenses.
- Assist with transition efforts of acquired, disposed and developed assets involving the tracking of capital and operating expense schedules.
- Administer preventative maintenance programs.
- Negotiate and manage vendor contracts within assigned portfolio.
- Conduct regular property inspections to prevent problems/identify opportunities in accordance with department policy.
- Review and monitor daily work order report and weekly outstanding work order report.
- Review A/P invoices as needed and submit for payment in a manner which maximizes our NOI.
- Assure optimal functioning of building systems (example, HVAC, fire/life safety, elevators and security systems).
- Assist leasing representatives as needed on all leasing activity
- Review and understand leases related to assigned portfolio.
- Coordinate customer projects and follow-up on customer work requests.
- Responsible for the completion/execution of follow-up documentation for all leases.
- Adhere to OSHA requirements related to assigned portfolio.
- Identify and implement procedures to minimize our insurance risks.
- Coordinate proper response to all building emergencies
- Assist in the management of the maintenance department
- Adhere to company, division and department policies and procedures and ensure property compliance with codes, regulations and governmental agency directives.
QUALIFICATIONS:
- Effective organization, time management, written and oral communication skills.
- Demonstrated leadership/management skills.
- Strong interpersonal skills, detail-oriented and analytical competency
- Proven record of providing excellent internal and external customer service.
- Must be able to demonstrate proficiency and understanding of the following concepts:
o Operating expense gross-ups o Customer Utility Metering o Preventative Maintenance Scheduling o LEED Certification process; sustainability of buildings o Computer proficiency MS Office and Excel o Creation and manipulation of Excel spreadsheets, PowerPoint presentations, and other software as needed o Mathematical, statistical and analytical skills - Event planning and execution experience preferred.
- Bachelor's degree or equivalent experience
- 10 years' experience in full service commercial property and/or asset management
- Certified Property Manager designation or candidate, or RPA designation preferred.
- Budgeting/reporting experience.
- Demonstrated experience with property dispositions and new property start-ups.
- Proven experience managing capital improvement projects.
PHYSICAL DEMANDS:
- Must be able to inspect all areas of the properties, including roof, underground parking, etc.
- Regularly required to sit, stand, and walk
- May occasionally need to climb, balance, stoop, kneel, or crouch
- Lift and/or move up to 10 pounds
