The Advancement Services manager is a key leader in the University Advancement Department who should act proactively to create the conditions for success in strategic planning, fundraising, and stewardship. The manager leads the way in strategic management and the execution of the university's data management, reporting, gift processing, and donor stewardship functions, and provide crucial support to front line fundraisers. Responsibilities
-
Oversight, Analysis, and Reporting
- Provides broad leadership and administrative oversight in strategic planning, implementing, and improving Advancement Services functions, operations, and resources. Guide staff on the appropriate use of database functionality and ensure proper support and training for the Advancement database is provided to staff to carry out their roles effectively.
- Serves as Advancement's database manager in providing leadership and administrative oversight in supporting data-driven strategies and tactics.
- Oversees high-priority projects such as data updates, data imports (e.g., wealth screening data), and data analysis/support for gift officers.
- Maintains compliance with IRS regulations, as well as policies and procedures of Utah Tech University.
- Serves as the primary contact with the business office in monthly gift reconciliation, setting up new funds, troubleshooting gift entry adjustments, and providing appropriate documentation for auditors.
- Develops, updates, and maintains Advancement policies and procedures.
- Assists the Vice President of University Advancement in the preparation of department budgets and monthly budget reconciliation reports.
- Prepares financial reports for the Board of Trustees, Foundation Board of Directors, and other requests as needed.
- Foster a collaborative and inclusive spirit within the Advancement team, including the Alumni Office, the Foundation Board of Directors, and across the University community.
Gift and Data Management
- Ensures database integrity by managing the process and workflow for timely and accurate data entry/coding of gifts and biographical information.
- Provides for continuous improvement of biographical and research data.
- Follows protocols for seamless financial information exchange with the Business Office.
- Manages the timely and accurate distribution of pledge reminders.
- Coordinates institution-wide compliance with all gift and endowment funds to facilitate effective stewardship of philanthropic funds and to ensure that all funds are aligned with policies and federal guidelines.
- Oversees gift receipting and gift acknowledgment to donors are distributed promptly and accurately.
- Guides the production of endowment reports, year-end tax receipts, and fiscal year-giving totals.
- Perform other duties as assigned.

Qualifications
-
- Bachelor's degree in related field required.
- Minimum of three (3) years of advancement and/or database management experience required.
- Strong understanding of database concepts and data management, as well as technical skills.
- Knowledge and understanding of database management gift processing, donor relations, and non-profit management.
- Ability to import, export and manage large data sets, as well as write complex queries and reports.
- Ability to effectively support end-users with expertise and training.
- Good interpersonal skills - must be able to work effectively and collegially in a team setting and in a supportive role to departmental system users.
- Detail-oriented and self-motivated
- Knowledge of, and experience working with, Blackbaud's Raisers Edge and Banner system preferred.

POSITION DETAILS, COMPENSATION AND BENEFITS:Full-time overtime-exempt staff position. Annual salary of $63,000 with a desired start date of October/November 2025. Excellent benefits package included that begins on start date; includes medical, dental, vision, disability, and life insurance, employee assistance and wellness programs, retirement plan contributions, and undergraduate tuition waivers for employees and eligible dependents, as well as paid holidays in addition to sick and vacation leave accruals.
