General Info


Job Type: Full-Time


Hours: 7:30 AM - 4:00 PM - Monday through Friday (8/hr. shifts)


*Shift Differential: 4% (2nd shift) or 6% (3rd shift) differential pay only if the majority of hours worked fall within the shift differential window


Location: Four Seasons Environmental, Inc. - USNPRC Athens, Georgia


Salary Range: $26.42/hr. plus an additional fringe benefit of $9.17/hr. ($6.42 H&W/ $2.75 401(k))

Essential Job Duties and Responsibilities



  • Support management with a variety of administrative and clerical tasks.
  • Assist the Purchasing Manager with purchasing systems, order monitoring, and purchase order verification.
  • Maximo work order system entries, updates, and reporting; export data to excel to create pivot tables for analysist.
  • Document detailed weekly meeting minutes and work notes for Facility meetings, track action items, statues, and workflows.
  • Upload and organize weekly inspection reports. Assist with ISO record management, vendor interactions and support technicians and supervisors as needed.
  • Coordinate with client subcontractors and vendors, including scheduling site visits, sending notifications, and handling related documentation.
  • Maintain accurate records and generate routing reports.
  • Compile and organize data for internal use and reporting.
  • Maintain and update safety and training records in the Training Tracker system, monitor completion status, identify missed training, and notify supervisors of outstanding requirements.
  • Provide administrative support, including clerical duties and handling of confidential information with professionalism and discretion.
  • Back up support to payroll clerk.
  • Create instructional training notes and process guides.
  • Develop and design professional PowerPoint presentations.
  • Operate general office equipment, including copying, scanning, faxing, and filing; 2-way radio communication
  • Provide backup support to front desk by greeting visitors, handling calls, and dispatching service requests.
  • Provide back up support to mailroom, shipping and receiving as needed
  • Other duties as assigned.


Knowledge and Skills



  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Access); advanced skills in Excel.
  • Experience with data entry, purchasing, and accounts payable systems and processes.
  • Experience using cloud-based platforms such as Box, Dropbox, ShareFile, Office 365.
  • Ability to exercise discretion and sound judgment in handling sensitive or confidential matters.
  • Strong multitasking and organizational skills.
  • Demonstrated ability to work well with others; a true team player
  • Excellent interpersonal and customer service skills.
  • Strong attention to detail; dependable and professional.
  • Self-starter who can work independently with minimal supervision.
  • General computer and office operations experience required.
  • Use of subject-matter knowledge and judgment to complete assignments consisting of numerous steps varying in nature and sequence.


Requirements



  • Employees may be subject to immunization and testing requirements pursuant to Client and current Company requirements.
  • Employees must meet the requirements of the federal credentialing process to access the facility, which includes but is not limited to, obtaining facility access (aka PIV card, smart card, access card, badge) and meeting ongoing training and access requirements.
