HJF is seeking an Administrative Assistant I to perform a wide range of administrative and clerical duties for a department or department manager. Some general tasks include preparing reports, meeting minutes and correspondence; creating and editing documents, spreadsheets and presentations. Assists in managing schedules, arranging appointments and itineraries and answering and transferring phone calls. Somewhat knowledgeable of business unit policies. This is the first of three Administrative Assistant Levels. This level is distinguished by moderate judgment in resolving problems of limited complexity.

This position will be in support of The En Route & Critical Care Department within the Operational and Undersea Medicine Directorate (OUMD) at the Naval Medical Research Center.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike.   • Provide general administrative support to program managers, researchers, and leadership staff.
  • Maintain calendars, schedule meetings, and coordinate appointments and conference calls.
  • Prepare, proofread, and edit correspondence, reports, and internal documents.
  • Manage filing system ( electronic and physical), including confidential and sensitive records.
  • Track and order office supplies and equipment as needed.
  • Support travel arrangement and process relates documentation.
  • Assist with training tracking and onboarding tasks.
  • Interface professionally with military and civilian personnel across the NMRC.
  • Perform other administrative duties as assigned.


Education and Experience



  • High School Diploma required; Associate's degree preferred.
  • Minimum of 0-2 years experience required.


Required Knowledge, Skills and Abilities



  • Knowledge of proper grammar, punctuation, spelling, etc.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and maintain confidentially.
  • Ability to type at least 60 words per minute, operate a word processor or computer, and effectively communicate with a diverse group of people.
  • Ability to obtain and maintain a T1/Public Trust background check.


Physical Capabilities



  • Lifting: Requires lifting materials up to 25 lbs.
  • Ability to stand or sit at a computer for prolonged periods.


Work Environment



  • This position will take place primarily in an office setting.


Compensation



  • The hourly pay range for this position is $20.99-$24.04. Actual hourly pay will be determined based on experience, education, etc.
