Workplace Ambassador / Move Coordinator

Washington DC

M-F, 9am - 6pm

$60K - $65K

Move Coordinator is responsible for the outcome of the move processes, customer satisfaction, move communication. Responsibilities of this role include coordination and execution of small office moves.

Job Responsibilities - Move Coordinator

  • Assess cubicle condition, order missing parts, ergo changes.
  • Receive, compile and scrub move lists for potential issues
  • Review furniture layout, determine location for files and storage.
  • Deliver boxes, move labels, post pin ups, & deliver move instructions.
  • Determine mobile locations and prep furniture for drop-in stations.
  • Act as liaison between teams and the move vendors, communicate any desk adds and last-minute seating updates.
  • Schedule movers and alert security, provide all names for badging.
  • Schedule disconnects and reconnects of computer, servers, printer, and phones.
  • On site for all vendors and customers during move.
  • Review completed move and make adjustments with vendor.
  • Coordinate vendors for installation of power/data as required.
  • Submit service tickets to have space cleaned, keys and chairs at desk.
  • Troubleshoot all lost or misplaced items.

Job Responsibilities - Workplace Ambassador

  • Serve as the initial point of contact for all employee inquiries, issues, ticket management, troubleshooting, and feedback related to the services within the workplace, with the primary goal of positively impacting the care and comfort of Client employees and guests. Act as primary contact for client requests with follow-up ensuring work is handed off properly to internal teams and client is updated on completion or follow-up of work request.
  • Execute Ambassador services in a manner consistent with the SLA's, standard processes, professional brand image and compliant with applicable local laws, rules, and regulations.
  • Conduct routine walkthroughs and assessments of service delivery to ensure compliance with service level agreements.
  • Support data collection, analysis and reporting to ensure alignment with the Clients' goals and objectives.
  • Strive to continually improve experience service performance.
  • Achieve and exceed goals including performance goals, team goals and Clients' goals and objectives.
  • Ticket management and follow up in Maximo CMMS system.
  • Work collaboratively within the account team in the delivery of Experience Services across all business lines (Facility Management, Engineering, Projects, etc.).
  • Assist with third party vendor relationships and service partners to provide maximum service delivery.
  • Intuitive service delivery, anticipating needs or concerns exceeding Client expectations.
  • Build meaningful lasting relationships with Client employees and guests, carrying calling and culture cards.
  • Be visibly engaged and well known in the workplace. Walk floors to ensure workspaces (offices, desk, conference rooms, mailroom, pantries, etc.) are stocked and maintained.
  • Receive and respond to requests or issues in a timely manner, including a personal follow-up to Client employees to ensure questions / requests are answered.
  • Identify potential risks and escalate, as appropriate, to ensure no privacy breech, security incident or disruption occurs.
  • Engage in a culture of continuous improvement and innovation by leveraging business intelligence, adopting, and participating in the development of best practices, new tools, process re-engineering and other ideas that provide service delivery efficiencies.
  • Provide assistance with Client events as needed to ensure flawless delivery.
  • Serve as training center event concierge and manage conference room bookings.; including resolution of scheduling conflicts. Support requests to book events in the Landlord's space in Building 908.
  • Provide administrative and operational excellence for soft services.
  • Perform additional job duties, as requested.

Qualifications

  • 1-3 years minimum prior relevant experience in hospitality, facility / property management, operations and/or knowledge of commercial real estate preferred.
  • Exceptional customer service skills and professionalism with a passion for hospitality.
  • Ability to manage multiple priorities and deliver results in a fast-paced environment.
  • Highly collaborative with strong interpersonal skills and track record of excellent internal and external customer service.
  • Ability to work independently - strong prioritization and time management skills.
  • Ability to work with diverse teams - lead and/or follow; respectful, cooperative, accountable.
  • Excellent verbal and written communication skills with the ability to communicate professionally.
  • Excellent organizational skills andprocess management.
  • Ability to adapt to new devices, technology, and applications.

Estimated total compensation for this position:

60,000.00 - 65,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
