The Finance Assistant is responsible for supporting the daily operations of the finance department, with a key focus on accounts receivable duties such as processing invoices, recording receipts, and ensuring timely collections. This role entails accurate and efficient data entry into the organization's financial systems, maintaining up-to-date and organized financial records to support internal and external audits. The Finance Assistant responds promptly and professionally to customer inquiries regarding billing, payments, or account discrepancies, demonstrating excellent communication and customer service skills. Additional responsibilities include managing and tracking the renewal of various business licenses and permits to ensure compliance with regulatory requirements. The Finance Assistant also provides general support for accounting projects and administrative tasks as assigned, collaborating with other team members to facilitate smooth financial operations and contributing to the overall efficiency of the department.

Experience/Education Requirements:



  • Two-year accounting certificate, associate's degree or two years of relevant experience in finance or administrative support role performing financial data entry
  • Experience with accounts receivable, data entry, and basic bookkeeping is preferred.
  • Strong organizational skills and attention to detail.
  • Effective written and verbal communication skills.
  • Ability to handle sensitive financial information with confidentiality and integrity.
  • Proficiency in Microsoft Office products

  • Initiates and manages collaborative sessions with Service Departments to discuss and expedite the resolution of outstanding receivables.
  • Prepare daily A/R deposit and post to proper accounts; includes maintain deposit records and documentation.
  • Accurate data entry for customer setup in financial system.
  • Complete data entry for job charges received from inventory.
  • Send customer billing statements and resolve discrepancies with customers.
  • Perform credit checks for new customers.
  • Process customer credit card payments.
  • Provide customer service to internal managers as needed.
  • Maintain annual licensing renewals.
  • Complete additional assignments as requested.
  • Sales & Use tax filings for monthly, quarterly and yearly submissions.
  • Tracking of subcontractor payment release for Accounts Payable.
  • Maintain confidentiality of sensitive financial and personal information.
  • Support ongoing projects and process improvement initiatives within the finance department.
  • Assist with the implementation and documentation of new financial policies and procedures.
  • Other duties as assigned

This role will be based out of our Duluth MN office. The pay range is $19.00 to $28.50 per hour depending on job-related knowledge, skills, and experience. This position is eligible for benefits that support the total well-being of you and your family.Some benefits include
