Summary

Financial Operations Coordinator

This role will coordinate with internal departments and external clients to resolve discrepancies, manage purchase orders (POs), and ensure compliance with company policies.

Job Will Remain Open Until Filled



Responsibilities

The Company is one of North America's leading sales and marketing agencies specializing in outsourced sales, merchandising, category management and marketing services to manufacturers, suppliers and producers of food products and consumer packaged goods. The Company services a variety of trade channels including grocery, mass merchandise, specialty, convenience, drug, dollar, club, hardware, consumer electronics and home centers. We bridge the gap between manufacturers and retailers, providing consumers access to the best products available in the marketplace today.

Essential Job Duties and Responsibilities

    Prepare/send invoice requests for approval/submitting ticket to help desk
  • Research unpaid invoices across multiple vendor platforms
  • Monitor client payment systems to reconcile payments against accrued revenue
  • Provide support to financial audit portal and supply any require documentation to ensure compliance
  • Contact/partner with Account Receivable/Clients/Field Managers regarding status of open invoices
  • Creating and submitting supplier purchase order requests through portal systems (SAP, Service Now, etc.)
  • Maintain and reconcile billing tracker & aligning with PO's to correct allocation
  • Provide weekly/monthly updates on status of PO's, quotes, areas of needing support

Minimum Qualifications

Education Level: (Required): High School Diploma or GED or equivalent experience

Field of Study/Area of Experience:

1-2 years of experience in accounting, financial administration or bookkeeping is preferred

Basic understanding of accrual accounting practices

Skills, Knowledge and Abilities

Excellent communication skills, both written and verbal
Must be able to effectively manage multiple tasks and work with multiple departments
Excellent organizational and critical thinking skills
Expert level credibility skills and personal accountability

Environmental & Physical Requirements

Office / Sedentary Requirements

Incumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.
