What you will do:

  • Coordinate and schedule interviews, assessments, and candidate touchpoints across the recruitment lifecycle.
  • Liaise with hiring managers, recruiters, candidates, and external partners-including staffing vendors and MSPs, to support workforce planning and hiring operations.
  • Manage job postings, assist with outreach, and support local hiring events.
  • Facilitate pre-employment screening and onboarding activities, including background checks, I-9 processing, and documentation accuracy.
  • Maintain candidate and employee records within ATS and HRIS systems with precision and confidentiality
  • Support temporary staffing coordination, ensuring seamless onboarding and proper assignment tracking with vendor partners.
  • Respond to internal inquiries, assist with recruitment reporting and analytics support team's process documentation.
  • Identify and recommend process improvement opportunities to elevate the candidate and hiring manager experience.

The ideal candidate will have:

  • A Bachelor's degree in Human Resources, Business Administration, Communications, or a related field; or an equivalent combination of education and experience (1:1 substitution accepted).
  • 3+ years of HR administrative experience, including at least one (1) year supporting recruiting and onboarding.
  • Proficient applicant tracking systems (ATS) and HRIS platforms is preferred.
  • Experience supporting temporary staffing coordination or working with a Managed Service Providers (MSP) is a plus.
  • Deep understanding of recruitment, onboarding, and employment documentation processes.
  • Strong knowledge of employment laws and compliance requirements.

Salary Range: $23.84 - $29.80 per hour (estimated $49,587.20 - $61,984 annually)

Job Purpose:

The Talent Acquisition Coordinator provides administrative support throughout the full lifecycle of recruiting and onboarding, ensuring an efficient, compliant, and welcoming experience for candidates and hiring teams. Coordinates interview logistics, supports onboarding activities, maintains accurate and compliant records, and ensures pre-employment requirements are met. Collaborates with internal teams, department representatives, and external partners, including the organization's Managed Service Provider (MSP) to support workforce planning, staffing, and onboarding objectives for both regular and temporary positions.

Primary Functions:

Recruitment & Interview Coordination

  • Schedule and coordinate interviews, assessments, and related activities with internal and external candidates.
  • Serve as a liaison between hiring departments, candidates, and recruiters to support timely communication and effective coordination.
  • Support the preparation and posting of job vacancies in the Applicant Tracking System (ATS) as needed.
  • Coordinate recruitment outreach efforts and community hiring events.

Pre-Employment & Hiring Compliance

  • Initiate and monitor background screenings, drug tests, and medical clearances.
  • Track completion of pre-employment activities and follow up with candidates, vendors, or departments as necessary.
  • Ensure new hire records and documentation are accurate, complete, and in compliance with applicable regulations and internal policies.

Onboarding Coordination

  • Generate onboarding requests and assign employee identification numbers in internal systems.
  • Prepare onboarding packets and support new hire orientation, including collection and verification of employment eligibility documentation (Form I-9 and E-Verify).
  • Process and upload new hire paperwork, including I-9 documents in the system.
  • Maintain onboarding materials, forms, and communication templates in alignment with current policies and procedures.

Temporary Staffing Support

  • Support the processing of temporary staffing requests in accordance with established guidelines.
  • Serve as the point of contact between hiring managers and the organization's Managed Service Provider (MSP) for temporary or contingent staffing needs.
  • Track temporary placements, including approvals, onboarding status, extensions, and assignment documentation.

Records & Systems Management

  • Update and maintain candidate and onboarding data in the Applicant Tracking System (ATS), and document management systems.
  • File, track, and archive recruitment and onboarding documentation in accordance with records retention requirements.
  • Monitor the Talent Acquisition mailbox and respond to inquiries or route them to the appropriate contacts.

Administrative Support & Reporting

  • Assist in the preparation of reports, presentations, meeting materials, and data tracking tools.
  • Attend team meetings, take notes as assigned, and support process documentation.
  • Identify and recommend opportunities for process improvements to enhance operational efficiency and the candidate experience.
  • Perform other related duties as assigned.
Technical Requirements:
  • Knowledge of employment laws, records retention standards, and public sector HR practices.
  • Knowledge of recruitment processes, onboarding procedures, and employment documentation requirements.
  • Understanding of temporary staffing protocols and third-party vendor coordination.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with HR technologies such as applicant tracking systems (ATS), onboarding platforms, and HRIS.
  • Ability to interpret and apply policies, procedures, and applicable laws and regulations.
  • Strong organizational, problem-solving, and interpersonal skills.
  • Ability to communicate effectively, both verbally and in writing;
Education/Certification/Years of Experience Requirements:
  • Bachelor's degree in Human Resources, Business Administration, Communications, or a related field of study. In lieu of a degree, equivalent combination of education, certifications, and experience may be substitutable on a 1:1 basis;
  • Minimum of three (3) years of human resources administrative support experience, to include:
    • One (1) year of experience supporting recruiting and onboarding;
  • Experience using Applicant Tracking Systems (ATS), and HRIS, preferred.
  • Experience coordinating temporary staffing or working with Managed Service Providers (MSP), preferred.
Working Conditions:

This job is absent of disagreeable working conditions. This job is performed in an office work environment.

Physical Requirements:

This job includes very frequent speaking/hearing, writing/typing, and detailed inspection. This job requires frequent standing, walking, and sitting. There may be occasional bending, climbing, kneeling, reaching over head, and lifting up to twenty (20) lbs. Also, this job includes frequent driving of a company vehicle.
