Your Job

Molex is seeking an Executive Administrative Assistant to support the Chief Information Officer located in Lisle, IL. To be successful in this position, we are looking for an individual who is customer-focused, organized, attentive to detail, proactive in establishing useful processes, and is flexible to interact with team members of all levels in a fast-paced environment.

What You Will Do

  • Provide high quality administrative support to the CIO and her direct reports:
    • Calendar management
    • International and domestic travel coordination
    • Expense management
    • Meeting Coordination
    • Scheduling meetings, which includes email coordination to find mutually available times and adjusting schedules for urgent matters.
    • Organizing logistics such as conference room reservations, badging requests, and catering arrangements. Catering can consist of ordering internally or from an outside vendor, set up and clean up.
    • Providing supplies as needed.
    • Managing the agenda of the meeting.
    • Managing meetings across multiple locations, including Lisle, Willis, and Wichita.
  • Engage with the broader Molex (and in some cases Koch) Executive Administrative Assistant community in terms of collaboration, coordination, best practices, synergies and relationship building
    • Event Planning
  • Organizing offsite lunches or dinners requires selecting venues, securing private rooms, and managing food arrangements and contracts.
  • Own and maintain distribution lists
  • Update Digital Leadership Team and Global Leadership Team calendars
  • Manage meeting invites: Digital Leadership Team meetings, townhalls, Cafe series, etc.
  • Enter Purchase Orders
  • Support PowerPoint creation as requested by the CIO and her leadership team
  • Support spreadsheet/analytics as requested by CIO, Sr. Director Change & Adoption, HR, and other leaders for organizational effectiveness purposes
  • Work with facilities for maintenance/technical issues as required
  • Back up Evacuation Coordinator
  • Occasional travel may be required

Who You Are (Basic Qualifications)

  • 10+ years experience of senior executive support
  • Microsoft skills at "high proficiency" level including Word, PowerPoint, Excel
  • In Lisle office 5 days per week
  • Ability to multi-task, manage schedule conflicts and stay two steps ahead of situations
  • Demonstrated project management, organizational, analytical, and problem-solving skills
  • Strong organization and communication skills at the executive level

For this role, we anticipate paying $36.00 - $41.00 per hour. This role is eligible for variable pay, issued as a monetary bonus or in another form.
