DESCRIPTION OF WORK

As an Executive Secretary 1, you will act as the liaison and initial contact for the Deputy for Administration (DFA). Your duties will include answering and screening telephone calls and visitors, answering inquiries telephonically and in writing, and informing the DFA about office activities occurring during their absence. In this position, you will monitor the budget for the office and run reports to monitor spending. You can expect to meet with the Director of the Bureau of Budget and Finance to review expenditures, ensure invoices are paid on time, and review any liquidations. You will also route correspondence to the appropriate Office of Administration (OA) staff, establish suspense dates for the completion of appropriate dispositions, and ensure suspense dates are met. Additionally, you will contact the appropriate offices about OA issues in suspense and advise the DFA on items requiring attention. Interested in learning more? - Full-time employment
- Work hours are 7:30 AM to 3:30 PM, Monday - Friday, with a 30-minute lunch.
- Telework: You may have the opportunity to work from home (telework) part-time, up to 2 days per week. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office at Fort Indiantown Gap.
- Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS Minimum Experience and Training Requirements:
- Three years of progressively responsible experience in secretarial work. Appropriate formal post high school secretarial training may be substituted for the required experience on a year-for-year basis; or
- Any equivalent combination of experience and training.
Additional Requirements:
- You must possess a valid federal or state-issued photo ID and pass a favorable NCIC screening for admittance to Fort Indiantown Gap.
- You must be able to perform essential job functions.
Preferred Qualifications:
- Able to work in Lebanon County, Pennsylvania
- One year of experience in the field of administrative support to a manager
- Experience in varied office management or staff work
- Experience in maintaining multiple administrative projects
