Summary of Position Functions

The Accounting Specialist is responsible for A/P invoicing and management, vendor management in the accounting system, recordkeeping and filing, expense report processing and other miscellaneous accounts payable tasks. Additionally, the Accounting Specialist is responsible for the billing system set-up and maintenance.

Essential Position Functions

  • Process A/P invoices and manages A/P vendor files.
  • Manages A/P Inbox and vendor contact information.
  • Processes expense reports via the Concur system.
  • Sets up new vendors in accounting system.
  • Reconciles vendor accounts and send out monthly vendor statements.
  • Assists with check runs, including ACH.
  • Issues and follows-up on receipt of Lien Waivers.
  • Assists with month-end closing, ensuring all invoices/pay apps have been entered and approved.
  • Processes year-end 1099's.
  • Sets up, enters and maintains all projects, vendors and clients in billing system.
  • Assists in annual finance audit as requested.
  • Maintains list of inventory items in storage and retrieves upon request.

Non-Essential Position Functions

  • Other duties as assigned.

Supervisory Responsibilities

  • None at this time.

Educational/Certification Requirement

  • High school diploma required.
  • Bachelors Degree in Accounting or related degree.

Knowledge, Skills and Abilities

  • Knowledge of math principles such as addition, subtraction, multiplication and division.
  • Strong written and verbal communication skills, including with external customers.
  • Excellent attention to detail and organizational skills.
  • Working knowledge of MS Office (Word, Excel).
  • Ability to work independently.
  • Knowledge and ability to interact with vendors/customer and answer inquiries.
  • Understanding of the importance of confidentiality regarding company/affiliate information.
  • Ability to work effectively with cross-functional teams.

Required Experience

  • 3+ years in construction accounting and clerical experience.
  • 3 + years' experience with Vista by Viewpoint.

Certifications, Licenses, Registration

  • Valid drivers license.
