Job Description

Summary/objective

Buffalo Rock is an award-winning Pepsi and Keurig Dr Pepper bottler founded in Birmingham, AL more than 123 years ago. Buffalo Rock manages the best beverage portfolio in the country, which includes several beloved global and regional brands. The primary duty of the Administrative Support - Level I serving as the first point of contact for all incoming phone calls (coffee orders, etc.), dispatch operator (service calls; national calls, etc.) and checking in drivers while providing superior customer service and performing administrative support tasks. Additionally, the Administrative Support- Level I is responsible for securing the money room at all times.

Essential functions

* Regular and timely attendance is an essential function of this position.

* Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.

* Verify all route deposits. (On-Premise and Retail)

* Secure money room at all times.

* Complete and validate nightly deposit.

* Communicate any errors on deposit to manager.

* Issue and track all change funds according to procedures set forth in the security policies and procedures manual.

* Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to order office supplies.

* Greet visitors entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.

* Ensure all visitors sign in and out according to policies and procedures.

* Transmit information or documents to customers, using computer, mail, or facsimile machine.

* Collect, sort, distribute, or prepare mail, messages, or courier deliveries.

* Handles On-Premise administrative duties:

o House invoices

o Item ordering

* Distribute service and product calls to ensure timely response.

* Process Inbound and Outbound Blue Bag process.

* Handle retail house sales tickets, retail manual sales tickets and process and track donation tickets.

* Responsible for balancing and maintaining cash box.

* Perform other duties as assigned.

Other Duties and Responsibilities

* Must exhibit a high level of ethical and moral conduct while at work or in attendance of any off-site function during work hours or after work hours while representing the Buffalo Rock Company.

* Responsible for continuous self-improvement through the knowledge and use of all Buffalo Rock provided training, either web-based, in-house, or any other provided method. Must successfully complete assigned training curriculum, including but not limited to online and/or facilitated training.

* Ensure that every reasonable precaution is taken to protect the Company from possible damages, theft, or other liabilities.

Required education and experience

  • Education:
    • High School Diploma (or GED or High School Equivalence Certificate); Preferred
  • Computer Skills:
    • Must be proficient in Microsoft suite of products including Word, Excel, Outlook, and PowerPoint. SharePoint experience; Preferred.

* Other Requirements:

o Must be able to read, write, and speak in the English language.

o Must be able to perform basic mathematics.

  • Tools:
    • Calculators, Telephone, Multi-line switchboards/Scanners, Desktop/laptop computers, iPhone/iPad
