Job Description

Join our dynamic insurance defense legal team as a Legal Administrative Assistant. In this role, you'll provide critical administrative and litigation support to a team of attorneys, helping drive efficiency across various legal processes. This is an excellent opportunity to gain hands-on legal experience in a collaborative and mentorship-focused environment, particularly within the realm of Bodily Injury (BI) litigation, while also gaining exposure to other areas of law.

Key Responsibilities

  • Legal Document Management: Draft, enter, and manage pleadings, motions, trial documents, and legal correspondence using the case management system.
  • Case Lifecycle Coordination: From the time a lawsuit is received, support case processing tasks such as assigning the case, preparing and sending letters of representation to insurers, filing entries of appearance with the court, tracking financials, answering complaints, sending notices of depositions or hearings, corresponding with opposing counsel, and ensuring proper file closure.
  • Calendar Management: Maintain and monitor calendars for trial, arbitration, and mediation dates. Ensure accurate scheduling, timely follow-ups, and notifications.
  • Client & Court Communication: Answer and place calls with clients, attorneys, courts, and claim representatives. Communicate clearly and professionally via phone, email, and written correspondence.
  • Administrative Support: Open legal files, perform mail handling (electronic and in-office), scan and file documents, triage and route correspondence, and manage various day-to-day office administrative tasks with attention to detail and timeliness.
  • Court E-Filing: File legal documents electronically on court websites, ensuring accuracy and compliance with court requirements.
  • Compliance Monitoring: Maintain data accuracy in the Team Connect Litigation Management System and support adherence to internal compliance procedures.
  • Team Collaboration & Problem Solving: Work closely with attorneys, team members, and leadership to address administrative needs and process improvements. Remain open to feedback, flexible with shifting priorities, and supportive in a team-driven environment.

Qualifications

  • Prior experience in an office or legal environment that includes administrative support, calendaring, data entry, or legal document preparation is strongly preferred.
  • Exposure to bodily injury litigation or civil litigation is a plus.
  • High School Diploma or GED preferred.
  • Strong organizational skills and the ability to manage a high volume of work while maintaining accuracy.
  • Excellent written and verbal communication skills with a professional and empathetic tone.
  • Ability to work both independently and collaboratively in a fast-paced, deadline-driven setting.
  • Calm under pressure and capable of adapting to evolving priorities.
  • Proficiency in Microsoft Office Suite and a willingness to learn new legal or case management systems.
  • Trustworthy with handling confidential information and legal records.

Supervisory Responsibilities

This role does not have supervisory duties.

Education & Experience (in lieu)

In lieu of formal education requirements, an equivalent combination of work experience and education may be considered-particularly experience involving administrative support, document processing, calendaring, or customer service in a professional setting.

Compensation

Compensation offered for this role is $19.23 - 31.49 per hour and is based on experience and qualifications.

The candidate(s) offered this position will be required to submit to a background investigation.
