This is a full-time, office-based role out of our New York, New York office. This is an office-based role with flexibility for alternate work arrangements on select days! This role simultaneously supports two executive Northeast Region leaders: the Northeast Region Leader and the New York Market Leader. This role will also act as a resource for on-site needs in the New York City office.

What the day will look like.

The person in this role responds promptly and thoughtfully to work on requests from senior leaders. They are adaptable to changing work environments in the office, shifting priorities, and new situations. Additionally, the Executive Assistant possess the skills and ability to partner with leaders on confidential matters, communicate optimally and appropriately with both internal resources and clients (where applicable), and other parties in an office based and semi-virtual working environment.

  • Acts as a primary point of contact for the team (e.g., independently seeks out answers to questions, takes the initiative, leverages network of resources to solve problems).
  • Manages executive schedules and facilitation of meetings. Acts as liaison between the executive and their colleagues, clients, and other collaborators.
  • Coordinates sophisticated meeting logistics in-person and virtually; may include, but not limited to, meeting invitation coordination and sourcing, budgeting, travel, securing room reservations, meeting room logistics and materials, and catering/food delivery.
  • Research and books travel arrangements (ex/ flight or train travel, hotel bookings, or other) when leaders travel to off-site client meetings, events, or Aon offices. Provides a detailed travel itinerary ahead of each trip.
  • Maintains administrative oversight of Northeast and New York town halls and leadership meetings; Coordinate, schedule and prepare presentations for client and internal meetings.
  • Prepares, produces, and proofreads presentations and correspondence, graphic presentations, and other documents, including editing for grammar, punctuation, and clarity. Ability to compose materials from rough notes or independent knowledge of circumstances.
  • Responsible for delegating support of the executives' email management, time recording, comprehensive calendar management, expense approvals, and special projects as needed. Coordinates various projects and works independently. Prepares and submits expense reports on the leaders' behalf.
  • Submits printing requests for meetings and other needs as necessary; ensures accuracy of printed materials, and any other preparatory materials, before distribution.
  • Serves as an experienced resource for Aon branding and a liaison with varied Aon subject matter authorities. Maintains OneDrive files, databases, or SharePoint sites as applicable.
  • Demonstrate leadership by supplying agenda topics and openly participating in meetings or other forums. Actively participates in leadership meetings for follow ups and note taking when applicable.
  • Prioritizes work, makes measurable progress on assignments, and delivers quality results with an understanding of practice/business terminology. Familiarizes self with financial services and insurance industry terminology to inform daily work assignments.
  • Strategic, solving problems, and establishing procedures that result in process improvements.
  • Subject matter authority for internal tools and resources. Partner with Northeast Business Development team to manage all regional email Distribution Lists. Send regional holiday alerts and other colleague notices from dedicated executive alert inboxes.
  • Records your own working time accurately and submits time according to corporate guidelines.
  • Assists with overflow work from other areas of the business; provide backup support to other AAs as warranted. Assists Administrative Operations Managers (AOMs) with special initiatives and workstreams.

Skills and experience that will lead to success.

  • Minimum of 6+ years of validated experience as an executive assistant supporting multiple senior leaders.
  • Displays exceptional customer service skills and attention to detail.
  • Superior writing skills-grammar, punctuation, spelling, and proofreading.
  • Self-motivated teammate with ability to work independently under minimal direction.
  • Demonstrates strong organization and project management skills.
  • Demonstrates discretion on highly confidential matters. Has a wide degree of creativity and latitude. Suggests approaches for resolving problems, maintaining an elevated level of confidentiality.
  • Proven track record maintain composure during high-pressure situations. Ability to collaborate with clients and the team, always maintaining integrity with a positive demeanor. Excellent interpersonal and intrapersonal skills.
  • Self-directed prioritizing of work and projects demonstrates measurable progress through open communication to leaders and team members consistently and with quality.
  • Advanced level computer literacy in Microsoft Office Suite and other technology tools, programs, and database systems.

Pay Transparency Laws:

The salary range for this position (intended for U.S. applicants) is $90,000- $105,000 annually. The actual salary will vary based on applicant's education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant's geographic location.
