SUMMARY DAWSON is looking for the next Executive Assistant for Customs and Border Protection Professional Services Support Office of Facilities and Asset Management (OFAM) located in Washington, D.C. The Executive Assistant will serve as the single point of contact (POC) for coordination and schedules for meetings at all division and branch levels. This means events (e.g., town halls), scheduling high-level/high-visibility meetings with internal and external components/stakeholders, coordinates and schedules meeting space, and assists with developing agendas, briefing materials, and presentations. Participates in meetings on an as needed basis the making, changing, cancelling travel and transportation arrangements. This position reports to the OFAM Senior Consultant and reports all travel related CBP requirements, including all travel submission vouchers for government employees, as required. DUTIES AND RESPONSIBILITIES:
- Travel Coordination and Management - Serves as the primary point of contact (POC) for making, changing, cancelling travel and transportation arrangements, and maintains and submits expense reports and travel-related documentation in accordance with file plan requirements and maintain and submit travel vouchers for government employees as needed.
- Calendar Management - Coordinates and schedules meetings all division and branch-level meetings and events (e.g., town halls), schedules high-level/high-visibility meetings with internal and external components/stakeholder, coordinates and schedules meeting space, and assists with developing agendas, briefing materials, and presentations. Participates in meetings on an as needed basis.
- Other Administrative Duties - Performs a full range of office and administrative support duties including managing calendar appointments for senior PMO leaders; scheduling meetings, interviews, and conferences; evaluating requests for information, appointments, tasks, create/maintain/submit meeting minutes, generate/review/maintain reports/memos/letters/other documentation as required and other correspondence and coordinating responses within established deadlines. Supports division-level employees with the development of Standard Operating Procedures (SOP).
- Logistics Support - Maintains and manages office supplies and equipment, develops policies and procedures for offices systems, file structures and plans in accordance with federal, CBP, and DHS guidance, and other specialized functions as needed.
- Task Management - The contractor will be responsible for carrying out the task listed: Monitor, measure, coordinate, and improve the management of tasking systems, data flow, and metrics; Establish metrics to measure the quality/timeliness/accuracy of tasks to improve performance; Maintain knowledge management sites that house task and all documentation related to the tasks; Coordinate with offices within and outside of OFAM on tasks; Develop, implement, and refine existing tasking systems and suggest changes to improve the systems and their functionality; Review and improve the management of tasks at all levels within OFAM and recommend improvements; Create, maintain, manage, and track deliverables and update SharePoint sites; Create status reports (daily); Create/maintain and distribute report of all open deliverables to all division level employees (daily); Maintain COOP contact lists (quarterly).
QUALIFICATIONS:
- Commute to Washington DC. Office twice (2x) per week
- Must be able to obtain a CBP Public Trust Clearance - Current CBP clearance is preferred
- Bachelor's degree in business, management, or related field
- A minimum of 6 years of relative experience.
