Position: Customs Entry Coordinator
Location: Wood Dale, IL
Working Hours: 9:00am - 6:00pm
Classified: Non-Exempt, Full-Time, Direct-Hire
Overview:
The Customs Entry Coordinator supports import processes by preparing customs documentation, coordinating shipments, and communicating with government agencies, vendors, and customers. This role ensures smooth and timely delivery of goods while assisting with invoicing and maintaining compliance with company and industry regulations. Strong communication and organizational skills are essential for success in this position.
Responsibilities:
Prepare and submit accurate customs declarations and required shipping documentation to government agencies in a timely manner.
Coordinate closely with internal sales teams to process customs declarations promptly and accurately.
Provide logistics support by arranging transportation, confirming pickups/deliveries, tracking shipments, and reporting status updates to customers.
Offer pricing quotations to current and potential customers based on logistics and freight requirements.
Communicate effectively with shippers, carriers, trucking companies, and airlines to ensure smooth operations and resolve issues.
Enter shipping contract data into internal systems, issue invoices, manage billing, and reconcile freight charges and payment discrepancies.
Assist with invoicing processes for Airfreight, Ocean, and Trucking departments to ensure timely and accurate billing.
Ensure compliance with TSA, CTPAT, State Department, and other regulatory requirements, while staying updated on relevant industry regulations.
Maintain confidentiality and ensure the secure handling of sensitive company and customer information, adhering to company policies and compliance standards.
Qualifications:
Minimum of 3 years of experience in import operations and customs brokerage.
U.S. Customs Broker License preferred but not required.
Working knowledge or experience with TSA and CTPAT program administration.
Strong organizational skills with a high level of attention to detail, especially in documentation.
Understanding of Japanese culture and Japanese language skills are a plus.
