Summary:

The Executive Assistant will provide daily support to the SVP and his direct report team to ensure that all administrative needs are provided in a timely and accurate manner. With limited direction, professionally and promptly receive and direct highly confidential information. Communicate with and influence internal and external contacts at all levels to ensure accurate and timely responses that support NRG business objectives.

Essential Duties/Responsibilities:

  • Provide administrative support including scheduling meetings and appointments; preparing and managing expense reports; answering phones as needed; maintaining files; prioritizing mail, emails, and calls.
  • Meet with the SVP personally or telephonically daily, as early as possible, to review the day and priorities.
  • Monitor and manage SVP direct report communications and assignments.
  • Coordinate travel including arranging for air, hotel, ground transportation, and meeting room reservations; act as a liaison between offsite travel company and department staff, being the first contact for problems and assisting with problem resolution.
  • Review information from a variety of sources to maintain knowledge of the business, project activities, and operational issues.
  • Coordinate use of NRG tickets associated with the stadiums that have the NRG name. Work with SVP and executive leadership to document use of the tickets and purpose.
  • Promptly open, date, prioritize, review, and assess all incoming email, mail and faxes. Determine department representative's availability for invitations and note any conflict; review invitations and respond appropriately. Draft correspondence for verification and signature.
  • Develop PowerPoint presentations, including charts and graphs, and other presentation materials using NRG standards and procedures with high quality and in a timely manner.
  • Prepare meeting packages, including an itinerary that outlines meeting purpose, location, times, and attendees, and any meeting materials.
  • Process invoices and direct to appropriate staff for approval and payment in an expedient manner. Track all expenses on a real-time basis. Reconcile departmental records with corporate expense reports. Work with Procurement to ensure compliance with all processes.
  • Develop positive relationships across all levels of the internal organization and with external individuals and groups that affect NRG's business climate.
  • Act as departmental timekeeper.
  • This position is expected to be on-site, in office 5 days a week at the office of the SVP of Generation; flexible work time may be available depending on the schedule of the SVP.

Education:

  • Bachelor degree preferred, with 2-3 years of administrative experience. Previous experience with monitoring and dealing with confidential information.

Additional Knowledge, Skills and Abilities:

  • Demonstrated ability to effectively communicate (verbal and written) with all levels of internal and external customers in a professional manner.
  • Ability to coordinate and work well with others and work independently. Requires critical thinking skills and keen judgment.
  • Must be a certified Notary or willing to become certified and maintain the ability to notarize documents
  • SAP experience a plus.
  • Microsoft applications including: Word, PowerPoint, Excel. Adobe Acrobat (PDFs).
  • Ability to independently create professional letters, memorandums, reports, tables and presentation slides.
  • Must be able to prioritize and process multiple complex projects, deadlines and willingness to attend to details.

Physical Requirements:

  • Occasionally requires lifting as appropriate to perform duties and responsibilities.

Working Conditions:

  • Primarily an office environment.
  • Travel to other office or power plant locations will be occasional but required
  • Must be able to work some overtime as special projects arise or during peak periods

Salary offered will be commensurate with the successful candidate's education and/or experience and consistent with the job location's market pay rate.
