Description

Summary / Position Purpose:

The AR Portal Billing Specialist is responsible for managing and maintaining billing processes through various customer portals. This role ensures timely and accurate submission of invoices, resolves portal-related billing issues, and maintains compliance with customer-specific billing requirements. The ideal candidate will have strong attention to detail, proficiency in billing systems and customer portals, and a customer-service mindset.

Essential Duties, Functions and/or Responsibilities:



  • Use and maintain online billing portals to manage customer accounts, process billing transactions, and ensure accurate data entry.
  • Generate invoices, process payments received through the portal, and reconcile accounts to ensure accuracy.
  • Address customer inquiries related to billing, provide support, and resolve any billing-related issues or disputes through the portal.
  • Maintain accurate records of customer accounts, including payment history, outstanding balances, and any relevant billing information within the portal system.
  • Investigate and resolving billing discrepancies, errors, or disputes reported through the portal, coordinating with other departments as needed.
  • Input billing information into the portal, generating reports on billing activity, and ensuring data integrity within the system.
  • Perform account reconciliations & create reports using Excel
  • Make daily contact to collect payment via phone, email or fax utilizing weekly aging reports, updated payment history, and recording all notes electronically within the contact management system.
  • Verify Account Info & Payment on all International Orders
  • Review/Release daily scheduled orders on credit hold utilizing credit & payment history and account status.
  • Add and maintain all customer accounts and shipping locations in the computer system.
  • Run credit reports and check trade references utilizing D&B reporting system to determine credit status for new account set-up.
  • Maintain & update customer accounts for taxable status and verify and update all tax certificates for billing and audit purposes.
  • Maintain relationships with customers, inside sales, and outside sales to maximize timely collection of payments.
  • Indirectly and directly responsible for product quality
  • Other duties as assigned


Qualifications

Education and/or Work Experience Requirements:



  • High school diploma or GED is required
  • Associates/Bachelor's degree in related field preferred, but not required.
  • 2+ years accounts receivable and general accounting procedures experience required
  • Customer service experience required, excellent verbal and written communication
  • Experience working in a fast-paced, team environment, and positive attitude
  • Proficiency in using online portals, billing software, and Microsoft Office Suite (especially Excel and Word) is essential.
  • Ability to communicate effectively with customers, both verbally and in writing, to resolve billing issues and provide support.
  • Accuracy in data entry, invoice creation, and account reconciliation is crucial for maintaining accurate billing information.
  • Ability to identify, analyze, and resolve billing discrepancies and disputes.
  • Ability to manage multiple tasks, prioritize work, and meet deadlines.
  • Providing excellent customer service and maintaining a positive and professional attitude when interacting with customers.
  • Understanding basic billing principles, accounts receivable, and revenue cycle management.

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
