Overview

Are you a seasoned executive administrative professional looking to make an impact? We are seeking a dynamic and experienced Administrative Support Specialist to join our team and provide exceptional support to our Regional / Line of Business Executives. Key Responsibilities

  • Provides administrative support to multiple executives in a fast-paced environment with a high level of discretion, confidentiality and empowerment.
  • Responsible for managing, updating and communicating calendars and schedules for executives with high degree of accuracy and flexibility.
  • Composes and processes business correspondence in response to inquiries, assigned projects or follow up.
  • Serves as liaison with business units and staff representing the executive office and ensuring good communication.
  • Organizes events, coordinates meetings, and initiates travel schedules and itineraries.
  • Tracks expenses and processes expense reports. Negotiates arrangements, pricing, and coordinates contracts for events.
  • Creates presentation material, and documents in support of executive activities, projects and responsibilities.
  • Ensures appropriate set up of meeting rooms including seating, technology support, refreshments, quality and quantity of materials, welcoming guests, anticipating needs of participants.
  • Represents organization to outside customers, clients, vendors, and community contacts requesting time with executives, or making inquiries to the organization.
  • Coordinates information across the organization to insure timely and appropriate response and follow up to questions or inquiries received.

Required Experience

  • Must manage sensitive and confidential information in a trustworthy manner and have a courteous, professional manner
  • Must thrive in a fast-paced environment and eager to accept challenging assignments
  • Has the ability to work independently as well as function successfully in team environment.
  • Must possess excellent interpersonal skills, strong organizational skills, calendar management skills, anticipating support needed by the executives
  • PC proficiency focused in the Microsoft Office Suite including Windows, Outlook, Sharepoint, PowerPoint, Word, and Excel is essential
  • Ability to create and maintain Sharepoint sites in keeping with Corporate Standards.
  • Performs a broad range of assignments with efficiency and accuracy and successfully copes with unintended consequences, moves constructively toward improving performance.
  • High School diploma or equivalent.
  • A minimum of 7 years experience as an administrative, executive assistant.
