JOB SUMMARY The Leave Administration Representative is responsible for managing leave of absence processes with a strong emphasis on delivering exceptional service to employees and internal stakeholders. The ideal candidate brings proven experience in high-volume environments supporting large organizations (10,000+ employees), with a deep understanding of federal and state laws, including FMLA, military leave, and multi-state compliance. PeopleSoft and UKG Dimensions experience preferred. This position falls under a hybrid work schedule. Minimum one day in office every other week and as needed. EXPERIENCE AND EDUCATION Required
- Education
Bachelor's Degree in Human Resource Management, Business Administration, or related field.
- Experience
3 years to five (5) years of professional experience in one or more areas of human resource management, including at least three (3) years in assigned area. May consider additional years of experience in lieu of education.
JOB DUTIES
- Provides the focal point for all questions and problems relative to Family Medical leave (FMLA), State Parental Leave, Catastrophic Leave (CSL) and Military Leave (MLT) issues by way of verbal and written communication with supervisors, managers, and employees. As a single incumbent to this position, this focal point covers all departments within the university and the hospitals.
- Serves as a "source" of information and interpretation for FMLA, Parental Leave, CSL and MLT regulations and related UT Southwestern Medical Center policies and practices. Receives Requests for FMLA, Parental Leave, CSL and MLT from all departments in UT Southwestern Medical Center. Receives medical documentation completed by the employee's treating physician. Contacts supervisors to clarify missing, incomplete or confusing information presented as part of the request form or medical documentation.
- Reviews all assigned requests for FMLA, Parental Leave and CSL along with the associated medical documentation to determine if the employee's service and the specific illness combine to make the employee eligible for Family Medical Leave. Provide written response to the supervisor and the employee that approves or denies the employee's request.
- Reviews the assigned "return to work" notices to determine if adjustments to the leave dates are necessary and provide revisions by way of new designation notices to the supervisor and the employee.
- Researches questions and/or uncharacteristic situations that occur, via sources of Department of Labor literature, FMLA manuals, the Department of Labor phone contacts, other universities in the UT System, etc.
- Provides training for small to medium size groups of supervisors and managers on the subject of Family and Medical Leave, as necessary.
- Assumes other duties as assigned.
