JOB SUMMARY: The Medical Receptionist (Bilingual) performs front desk duties for the medical clinic. The position welcomes visitors and clients, answers telephone calls, registers and schedules patients, provide customer service, handles cash, and interact with patients as important part of intake, eligibility and billing process.

ESSENTIAL DUTIES and RESPONSIBILITIES:



  • Front Desk responsibilities:


    1. Answers incoming telephone calls and welcomes all persons entering the clinic.


      • Manages a multiline telephone system efficiently and politely, minimizing hold time.



      • Transfers calls appropriately.





    2. Ensures that providers' agenda is fully and accurately booked.



    3. Uses the Electronic Medical Record (EMR) to update patients' arrival status.



    4. Schedules lab and provider appointments through the EMR, assuring provider continuity and patients' satisfaction.



    5. Serves as liaison between providers and patients. (Scheduling appointments, providing referrals, warranting eligibility for the clinic and grants that cover patients' fees).



    6. Keeps medical and dental providers, nurses, medical and dental assistants, and any other related staff abreast of scheduling, patient details, and potential service delays



    7. Answers preliminary non-medical questions.



    8. Makes reminder calls 48 hours in advance of the appointments.



    9. Verifies patients' eligibility for Montgomery Cares, Care For Kids and Chronic Care Programs, if applicable.



    10. Calls patients and reschedules canceled or missed appointments within 48 hours of missed appointment.



    11. Updates patient information in the EMR as needed.



    12. Oversees the movement of the clients in and out of the clinics.



    13. Ensures that claims are completed after each encounter.



    14. Ensures that clients' intakes and eligibility is completed and up-to-date based on current fiscal year agreements.



    15. Verifies signs in for clinic services, rights and responsibilities, grievance forms, notice of privacy, HIPAA agreement, and any other intake documentation.





  • Provides coverage for Eligibility Specialist as needed.



  • Distributes the daily incoming mail and packages and maintains the logbook for packages.



  • Handles cash regularly, to include receiving payment for provider visits and providing complete coverage of cashier duties as needed.



  • Orients and trains volunteers for the front desk and supervises their participation.



  • Assists in specialty referral process by notifying patients of upcoming specialist appointments, distributing referral letters, and maintaining a record of confirmed appointments.



  • Assists with implementation of Maryland Medicaid acceptance at the clinic as assigned.


  • Provides coverage for cashier as needed:



    1. Calculate clients' fees and collect payments in several forms (cash, check, and credit card) in Electronic Clinical Works (eCW) as well as the cash register while also providing receipts of all transactions.



    2. Enter and post payments including all cash, check, and credit cards as well as recurring credit card payments. Prepare daily and monthly reports by payment type.



    3. Utilize remote deposits into the bank system as well as reconcile all cash/check/credit card receipts from the clinic at the close of the business day for deposit.



    4. Schedule the deposit of cash collected from the local branch of the Agency's partner bank.



    5. Reconcile fees collected for each day per department for manager's approval.



    6. Complete the Agency form Check/Cash Receipts Log (CR-A) detailing cash collected, and cash deposited to the bank, scanned checks, and credit card transactions.



    7. Submit daily CRA'S reports to the Healthcare Services Clinic manager.





  • Provides coverage for the Bilingual Administrative Assistant at all three locations, Spanish Catholic Center, Catholic Charities Center, and Susan Denison Mona Center Dental Clinic as needed.



  • Performs other job-related duties as assigned.




EDUCATION and EXPERIENCE:




  • High School Diploma; Associates Degree preferred.



  • Two years' administrative experience, preferably in a medical setting.



  • Experience working with the Latino community preferred.




SKILLS and COMPETENCIES:



  • Excellent written, verbal and interpersonal communication skills in English and Spanish.
  • Knowledge of computer systems (MS Office products) and ability to navigate web-based applications.
