Scope of Work:

The contractor shall provide administrative and office management support to program management personnel at the United States Air Force Academy (USAFA). Responsibilities include performing a full range of secretarial and clerical duties such as maintaining organized filing systems, answering and directing phone calls, managing complex calendars, and coordinating meetings and appointments. The contractor must demonstrate professionalism, discretion, and the ability to manage multiple priorities in a fast-paced, mission-focused environment.

Responsibilities:

  • Provide comprehensive administrative and clerical support to technical and management personnel.
  • Assist with documentation, project coordination, event planning, and office management tasks as needed.
  • Serve as a primary point of contact for clients and visitors; greet and direct as appropriate.
  • Manage incoming and outgoing mail and packages.
  • Maintain records in accordance with company and Air Force policies, including AFRIMS compliance.
  • Retrieve and process electronic documents from internal queues and systems.
  • Ensure smooth daily office operations, including light facility upkeep and equipment monitoring.
  • Maintain and restock office supplies; coordinate service calls when necessary.
  • Support the development of reports, correspondence, presentations, and briefing materials.
  • Track and assign taskers using the Task Management Tool (TMT).
  • Maintain internal trackers to monitor status and ensure timely completion of tasks.
  • Take meeting minutes and distribute as needed.
  • Coordinate internal events, including quarterly recognition programs and team meetings.
  • Support the PMO team with formatting and editing government deliverables and reports.
  • May work independently on assignments requiring research or collaboration with multiple stakeholders.
  • Adhere to company policies, procedures, and safety regulations.
  • Performs other duties as assigned.

Requirements:

  • Minimum of five (5) years of relevant administrative experience, with demonstrated knowledge, skills, and abilities to perform duties independently. Prior experience supporting military installations is preferred (Air Force experience desired).
  • High school diploma or equivalent required.
  • Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Access.
  • Strong analytical skills with the ability to quickly and accurately process large volumes of data and perform qualitative and quantitative analysis to identify trends, anomalies, and errors.
  • Proven ability to deliver exceptional customer service in a contract support environment.
  • Ability to manage multiple tasks and shift priorities in a fast-paced, deadline-driven environment while maintaining high performance standards.
  • Must possess and maintain a valid state driver's license and a safe driving record, in accordance with company policy, to operate vehicles or equipment as required for the position.

Physical Demands / Work Environment:

  • Physical requirements include (but are not limited to) the ability to lift 25 pounds, pushing, pulling, carrying, stooping, bending, squatting, and reaching for long periods of time.
  • Must be able to work on-call, alternate, and extended shift schedules when necessary to meet the mission requirements, including weekends and holidays.
  • Work may be performed indoors or outdoors in varying weather conditions. Must be able to work in confined spaces, at heights, and around various hazards with appropriate PPE.
