JOB TITLE: DEPOSIT & LOAN OPERATION LEAD SPECIALIST REPORTS TO: OPERATIONS OFFICER GENERAL SUMMARY: Under general supervision, but in accordance with established policies and procedures, the Deposit and Loan Operations Lead Specialist performs a wide variety of administrative and processing tasks within the loan operations/administration, deposit operations/bookkeeping and electronic banking departments (Operations Center) of the bank with having the knowledge and capability of completing and managing any of the required activities at any given time. This role involves research, problem solving, and reporting to management, board, and regulators while providing excellent customer service to both internal and external customers and embracing the bank's core values. PRIMARY DEPARTMENTAL DUTIES AND RESPONSIBILITIES: Reviewing Loan/Deposit documents after account opening ensuring accuracy, completeness and meeting the banks guidelines and policies; and ensuring all documents are electronically filed appropriately and loan collateral perfected. Maintaining records and reviewing reports and documents to ensure compliance with all regulatory and legal requirements and accuracy of information, such as E-Oscar and Reg E. Servicing loans and deposit accounts including but not limited to loan payments, loan modifications, loan extensions and payoffs, debit card file maintenance, internet banking related services, unauthorized activities on accounts requests, wire and ACH processing, bookkeeping activities such as overdrafts and unpostables, and other servicing requests. Establish any needed Exceptions in the Exception Tracking systems for both Deposits and Loans and work with personnel to clear any items and adequately report to management and the Board any outstanding items per policy. Calculating and processing tickets for new or existing loan or deposit accounts. Ensure all activities and expectations of Operations Department have been completed timely and accurately at end of day and recommend to Operations Officer if adjustments need to be made to improve efficiency and guarantee quality control. Inputting or correcting data into the bank's core system and/or verifying against source documents. Maintaining communication with internal and external customers, including but not limited to handling complaints, problem-solving, or items such as disputed activity on accounts. Any other task, duties, or special projects assigned or requested by supervisor or Senior Management. SKILLS AND ABILITIES REQUIRED: Knowledge and full understanding of Banks policies, procedures, and regulatory and legal requirements and how they relate to the job functions. Analytical and problem-solving skills to be able to research and resolve issues. Strong communication skills (oral and written) with the ability to work effectively and tactfully amongst customers, vendors, and bank personnel, individually and as part of a team. Enhanced computer skills including proficiency in Microsoft products, core processing and other bank software systems and embracing digital technology. Organizational skills and attention to detail and accuracy. WORKING CONDITIONS: Generally good, with distractions and noise caused by the open work area. Physical, mental, or visual fatigue from working at a desk and on a computer for extended periods of time. Some light travel could be required. Accommodation can be made for any heavy lifting of over 5-10 pounds, which could require some effort to file paperwork and complete basic office tasks. MINIMUM LEVEL OF PREPARATION: Prefer a minimum 2-year college or technical degree. Can substitute additional and/or other banking or business courses and/or seminars/schools/certificates. Minimum of seven years of banking experience with at least five in loan operations and would also prefer deposit operations/clerk experience.
