Job Summary:

Performs a broad range of acquisitions processes, with a focus on electronic resources. Performs order, renewal, payment, access management and MARC record processes for databases, e-books, and e-journals. Organizes and manages licensing documentation. Responsible for gathering and organizing usage statistics. Assists with troubleshooting and problem resolution for electronic resources and acquisitions workflows for continuing resources.

Please Note: The target budgeted minimum starting salary for this position is $24.61 - $28.99 hourly. Offers will be based on candidate experience and education, as well as equity within Northwestern University. This position is in a bargaining unit represented by the Service Employees International Union (SEIU), Local 73.

Specific Responsibilities:

  • Coordinates and assists with ordering, receiving, invoicing, and claiming for a wide range of electronic resources, including databases, journals, and ebook packages. Provides additional support for print serials. Works closely with acquisitions staff who handle online access set-up and maintenance. Contributes to the maintenance and updating of spreadsheets tracking ejournal packages to effectively manage information on cost, and titles.
  • Receives and retrieves MARC records for electronic resources. Uses MARC Edit to manipulate records, or updates records individually to comply with additional MARC fields used for ExLibris Alma catalog records.
  • Assists with accurate management of the license documentation workflow for reliable record-keeping.
  • Gathers, organizes, and stores usage statistics for online resources from the various publishers and makes them available for librarian liaisons and acquisition staff.
  • Interacts with librarians and staff to answer questions and solve problems involving serial orders, claiming, and receipts. Assists librarians in interpreting vendor online databases and Alma acquisitions functionality. Assists with special projects for acquisitions and electronic resources.
  • Prepares and maintains written documentation of departmental procedures related to job duties and assignments.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • Three years of experience in library acquisitions, electronic resource management, metadata, OR data entry.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Ability to analyze, interpret and communicate complex problems relating to acquisitions and cataloging policies and procedures.
  • Ability to work with web-based systems and in an online environment.
  • Effectively manages workflows with accuracy and timeliness, contributing to the smooth operations of electronic resource management.
  • Demonstrates strong organizational skills and proficiency in managing complex tasks, effectively identifying priorities, seeking guidance when needed, and consistently maintaining a high level of attention to detail.
  • Experience with Microsoft Office and other productivity software packages, with an emphasis on Excel.
  • Communicates well both verbally and in writing, shares information and ideas with others, has good listening skills.
  • Works effectively in an environment in which the parameters may change daily; adjusts behavior to meet the needs of different people and situations.
  • Learning aptitude for new skills and technologies, including data analysis, artificial intelligence, and other emerging technologies.
  • Demonstrated commitment to Diversity, Equity, Inclusion and Access.

Preferred Qualifications:

  • Experience with automated library systems, preferably Alma and OCLC.
  • Experience working with library processes and workflows.

Preferred Competencies: (Skills, knowledge, and abilities)

  • Conceptual and practical knowledge of the technologies used to manage and access e-resources. Demonstrated ability with e-resources, acquisitions, and cataloging processes in an ILS or LSP.
