The Division of Finance and Administration (DFA) provides services and support to over 50,000 students, faculty, and staff with the mission of advancing UCI's brilliant future and the vision of becoming world-class campus partners. UCI Capital Planning plays a key role in the development of capital projects for the campus, including construction of new buildings, renovation of existing facilities and provision of utility infrastructure by providing planning, financial, and technical advice and consultation to the campus in the review, analysis and development of campus and health science programs and projects. This includes space planning, programming, funding, and utilization from large-scale visioning to precise detailing. This work has a significant, demonstrable impact on the ability of UC Irvine to implement capital programs, which enable the campus to meet its educational and research goals.


Your Role on the Team

The Property Administrator (Real Estate Officer 3) plays a vital role in managing UC-owned real estate, including office, medical, industrial, and retail properties. This experienced professional leads real estate programs within their specialty, supports leasing and decision-making efforts, and conducts financial and budget analyses. Key responsibilities include overseeing third-party property managers, managing tenant relations, coordinating property inspections and preventative maintenance, and ensuring timely lease administration and contract compliance.

The Administrator also prepares Regents Items and UC Office of the President documentation, ensuring all transactions align with university policies and fiduciary responsibilities. Serving as a liaison between service providers, tenants, and senior leadership, this role helps ensure smooth daily operations and high tenant satisfaction especially for healthcare providers with unique facility needs.


What It Takes to be Successful

Required:

  • Professional experience in commercial real estate practices and lease contract development.
  • Demonstrated knowledge and understanding of commercial property management, basic real estate law, and contract interpretation.
  • Proven ability and experience in conducting lease negotiations relating to financial and legal contractual terms, contract development, space planning, coordinating tenant improvements projects, finance, and property management.
  • High level of analytical, mathematical and decision-making skills in order to analyze and interpret financial and legal contractual terms and to draft formal contracts.
  • Ability to effectively resolve legal, financial and contractual issues and disputes.
  • Excellent interpersonal skills, including tact, diplomacy and flexibility to interact and maintain working relationships with University departments, University administration, industry representatives, charitable organizations and governmental agencies, including skills to clearly communicate information to a broad variety of people in written form, in person and on the telephone.
  • Understanding of risk management, seismic, fire and other life safety and ADA compliance issues.
  • Strong computer skills, including production of complex legal contracts, as well as analyses including spreadsheets, databases and modeling applications, specifically for financial feasibility analysis, operating budget performance analysis and database development.
  • Excellent written and oral communication skills, including the ability to compile data and information, and draft formal documents and produce reports. Ability to draft accurate correspondence based upon negotiations and / or conversations, and the ability to keep accurate notes regarding transactions.
  • Ability to deal with a multiplicity of demands and projects on an ongoing basis. Ability to work in a fast-paced environment of changing priorities and to maintain accuracy and attention to detail.
  • Ability to prioritize assignments, work independently or as a member of a team, as well as be responsive to supervision.
  • Bachelor's degree in related area and / or equivalent experience / training
  • 3-5 years experience with professional real estate.

Preferred:

  • Demonstrated knowledge of economic and general accounting principles and practices.
  • A strong knowledge of lease terms, lease language, letters of intent and ground leases.
  • California Real Estate Salesperson's or Broker's license preferred.
