The Senior Administrative Assistant at the Aspire program at Massachusetts General Hospital is designed to enhance the efficiency and growth of the organization through various administrative and secretarial tasks. The position supports administrative functions within the Aspire program, maintaining communication with various stakeholders and managing confidential information. They are expected to work 40 hours a week, including Saturdays during the academic year.
The position plays a crucial role in supporting these efforts under the supervision of the Manager of Operations to include: *Admissions Process: The Senior Administrative Assistant helps coordinate the admissions process for participants enrolling in Aspire's programs. This includes processing applications, accepted participant paperwork, and communicating professionally with potential and accepted applicants. *Payment Processing: Daily processing of payments. *Customer Service: Triaging and managing complex telephone calls, providing information on Aspire's programs to the public via phone and email, and maintaining databases and confidential files *Clerical Duties: The Senior Administrative Assistant performs general clerical duties such as photocopying, filing, faxing, scheduling meetings, and sorting mail *Patient Services: Scheduling and arriving patients in EPIC *Confidentiality and Privacy: Maintaining confidentiality and privacy in line with HIPAA guidelines. *Special Projects: work on special projects as needed *The role requires the ability to organize priorities, complete tasks, manage confidential information, and professionally represent Aspire in all interactions. Time management including organizing and planning how to divide your time between specific activities to maximize efficiency and productivity, is essential. It involves prioritizing tasks, setting goals, and allocating time effectively to ensure that important tasks are completed within deadlines.
