Job Overview
The Accounting Specialist will support the Business Department by performing variety of accounting and clerical tasks. Responsibilities will vary based on the needs of the Accounts Payable, Billing and Payroll departments. Salary Range: $85,000.00 - $105,000.00 Work Model: Onsite/In-Office
Responsibilities
Essential Duties & Job Functions:
Accounts Payable:
- Supporting the Accounts Payable dept to process invoices with purchase orders, purchase & service requests, and receiving documents.
- Prepare payables for review, ensuring funds are authorized and accurate.
- Copy invoices for direct billing.
- Complete filing daily.
Billing:
- Supporting the Billing dept to process T&M, Firm Fixed Price, Other Direct Cost (ODC), Cost Plus, and Technical Task Order billing invoices.
- Maintain complete and accurate billing and contract files.
- Apply understanding of contract billing requirements.
- Prepare worksheets to track billing items such as funding, billable costs, contract modifications, etc.
Payroll:
- Supporting the Payroll dept to maintain accurate and complete payroll batches by collecting, calculating, and entering payroll.
- Calculating employee hours worked, pay rate changes, and payroll deductions to process payroll.
- Update payroll records by entering changes in exemptions, insurance coverage, demographics, deductions, job title and department transfers, etc.
- Ensure that payroll deductions and benefits records are accurate in a timely manner.
Payroll Reviewer:
- Reviews work (in batch) from Account Payable staff to ensure accuracy and completeness.
- Reviews timesheets with system payroll edit reports and appropriate payroll account coding.
- Review employee Personal Action Notice submitted and input for employee maintenance files.
- Timely review of payroll edits and signed checks to ensure employees are paid in accordance with the published pay schedules, union agreements, etc.
Job Requirements
Mandatory:
- Bachelor's degree in Accounting, Finance, or Business; or an Associate degree with a minimum of four (4) years of related experience; or eight (8) years of related experience in lieu of a degree.
- Two (2) years of related work experience in Accounting/Finance.
- Three (3) years of experience of high volume payroll processing.
- Three (3) years of experience in Accounts Payable.
- Two (2) years of experience in Accounts Receivable.
- Experience using standardized payroll software for data entry, processing and inquiry.
- Ability to understand various company contracts with respect to billing requirements.
- Must be able to operate all office equipment including but not limited to: telephones, copy machines, fax machines, printers, computers and ten key by touch adding machine.
- Good working knowledge in Microsoft Office Suite programs including Word and PowerPoint. Must be proficient in MS Excel.
- Ability to work extended hours and alternate shifts as needed.
- Must have excellent verbal and written communication skills.
- Must have excellent organizational skills.
- Ability to deal with a variety of people in a professional, courteous manner in diversified situations.
- Mature judgment and ability to work with minimal supervision.
- Ability to pass pre-hire aptitude and skills testing.
- Ability to pass a pre-hire drug and background screen.
- Must be a U.S. Citizen.
- Ability to obtain and maintain the required intelligence community level clearance.
- Valid driver's license.
- Ability to lift 50 pounds.
