Job Summary The Office Administrator is responsible for maintaining a professional, welcoming environment, managing security, visitor protocols, handling incoming communications, and supporting office operations to enhance overall productivity and business continuity. This role ensures that all front desk functions are performed efficiently and contribute to the attainment of company objectives. What you'll do
- Welcome and provide information to visitors
- Comply with security department and organizational policies.
- Maintain surveillance through visual, CCTV, and door reader activities.
- Monitor access control systems for proper and improper badge reads.
- Manage front desk and visitor protocols.
- Keep common areas clean, safe, and clutter-free.
- Handle incoming calls, emails, and faxes.
- Receive and distribute mail and packages.
- Order and manage office supplies.
- Book and prepare conference rooms.
- Coordinate repairs and maintenance.
- Report suspicious activities, issues, or service outages.
- Document activities and incidents.
- Respond to emergency situations (e.g. fire, civil disturbance, bomb threat, explosion, flood, workplace violence).
- Communicate effectively with high-level contacts.
- Maintain confidentiality.
- Seek out information and training, share best practices.
- Ensure efficient office operations.
- Ability to document and write reports in our incident report writing system.
What we expect of you
- High school diploma required
- Minimum of 3-5 years in administrative support or customer service role.
- Significant experience using technology (i.e. multi-line phone systems, various online tools)
- Advanced MS Office skills (Outlook, Word, Excel, PowerPoint).
- Proactive and independent work style.
- Strong communication skills (oral and written).
- Problem-solving and follow-through.
- Exceptional customer service.
- Quick decision-making in emergencies.
- Associate degree in a business related or accounting related program preferred.
