Job Description

The HRIS Analyst supports HRIS applications through configuration, maintenance, and data analysis/reporting. Through use of software, databases, and reporting tools, the HRIS Analyst works closely with other HR team members to ensure HRIS data integrity, identify process improvements, create complex reports and dashboards, and provide first-level support to the Bank's users. In addition, they participate in HRIS related projects, change management, and maintenance of internal HRIS documentation.

DUTIES & RESPONSIBILITES

HRIS Maintenance & Administration

    Serve as the primary administrator of HRIS applications, HR SharePoint sites, and HR Teams Channels.
  • Participate in software upgrades, testing, and change management tracking for HRIS applications. Participate in User Access reviews.
  • Review release notes for HRIS applications and provide a summary of relevant information to HR team members.
  • Monitor integration processes, correcting errors as they occur. Escalate to the Senior HRIS Analyst and engage external vendor support or internal IT staff when necessary.
  • Monitor user activity by regularly reviewing configuration changes and failed logins reports.
  • Maintain large sets of data via development, testing, and processing of import files.
  • Periodically analyze HRIS data for integrity and, when discrepancies are found, consult with HR teams to determine the root cause.
  • Recommend changes to processes and procedures to minimize discrepancies in the future. Correct data discrepancies through application tools or other available means.

HRIS Documentation

  • Assist in writing and maintaining functional HRIS documentation to describe the design concepts, configuration, and functionality of technical processes.
  • Write and maintain documentation for administrators and end-users, such as procedures and guidelines. Provide training to end-users on system processes and procedures.
  • Document departmental procedures and create corporate-wide announcements and job aids.

Process Improvements

  • Identify and recommend improvements to HR processes and procedures without compromising data integrity or compliance.
  • Leverage database and application tools to streamline and improve manual processes, including developing, testing, and implementing process improvements

End User Support

  • Provide support to HR team members for HRIS related technical difficulties by investigating, troubleshooting, and resolving issues. Escalate to the Senior HRIS Analyst and engage external vendor support or internal IT staff when necessary.
  • Provide support to the bank's employees for HRIS related issues such as password resets and locked accounts.

Reporting & Analytics

  • Write and maintain reports utilizing appropriate reporting tools. Respond to ad-hoc reporting requests. Analyze data and reports to draw conclusions and make recommendations to management.
  • Consult with HR teams to identify reporting needs. Design complex reports to support the department's day-to-day processes. Manage ad-hoc reporting requests.
  • Collaborate with HR management to compile data, create and maintain dashboards to track key HR metrics using tools such as Microsoft Forms and Power Platform.

Projects & Compliance

  • Participate in HRIS related projects relating to system implementations, upgrades, modifications, enhancements, and integrations for existing applications.
  • Participate in research and selection of new technology solutions when necessary.
  • Conduct and complete additional assignments/projects as designated by management.
  • Support processes related to required government reporting, including but not limited to: EEO-1, VETS 4212, Section 125 Nondiscrimination Testing, Affordable Care Act, and W-2.
  • Support open enrollment and year-end activities as necessary.
  • Support tasks related to the department's record retention policy and vendor due diligence initiatives.
  • Maintain knowledge of federal and state employment law as well as knowledge of HR compliance and best practices.
  • May conduct independent research related to compliance initiatives.

QUALIFICATIONS

  • High school diploma or equivalent required. Bachelor's degree preferred.

  • Minimum of three years of experience in software administration, data maintenance, and reporting/analytics. Experience with HRIS applications a plus (UKG Pro Suite).

  • Ability to support and resolve end-users' issues through troubleshooting and investigating, and by partnering with external vendors or internal IT support.

  • Strong research, written documentation, and procedural skills required.

  • Superior organizational skills, time management, prioritization, critical thinking, sharp attention to detail, and follow-up skills required.

  • Must be results-driven with the proven ability to multi-task in a fast-paced, deadline-oriented environment.

  • Experience with system implementations and project planning is preferred.

  • Experience in a Human Resources environment with working knowledge of HR compliance and payroll, benefits, and recruiting processes preferred.

  • Banking experience a plus.

  • Experience with UKG Pro Suite of products and applications is highly preferred.

  • Experience in data maintenance required, including manual maintenance and use of data import/export tools.

  • Foundational understanding of relational databases and a proven ability to create reports and dashboards. Must be comfortable working with and analyzing large data sets.

  • Advanced Excel skills required (lookups, logical functions, pivot tables). Familiarity with macros a plus.

  • Knowledge of Microsoft Power Platform (Apps, Automate, BI) and Microsoft 365 applications including, Word, Outlook, Vizio, Forms highly preferred.

  • Experience in administering SharePoint and Teams sites is highly preferred.

  • Experience with iCIMS Recruit is preferred.

  • Functional knowledge of system integrations is preferred.

  • Demonstrated ability to learn new systems and applications, as well as the ability to understand, adapt and adjust responsibilities/workflows following system upgrades.

  • Ability to translate HR business needs and objectives into written technical requirements.

  • Must perform well in independent and team working environments.

  • Maintain effective working relationships with internal and external partners by exhibiting exemplary interpersonal skills, adopting a constructive, solutions-focused approach.

  • Ability to communicate professionally in verbal and written formats, tailoring the message appropriately to the situation and audience.

  • Due to the nature of the human resource function, the candidate must maturely and discreetly handle highly confidential/sensitive human resource information.

  • Maintain credibility through professional demeanor, appearance, and presence by modeling standards appropriate to our environment and industry.

  • Use sound professional judgment to balance the interests of the organization, understanding and using available resources to mitigate risks.

  • This position may require periodic travel to attend in person meetings and satisfy office obligations/responsibilities.

  • Typical hours are Monday through Friday 8:00 a.m. to 5:00 p.m. Additional hours may be required depending upon business need.
