Payroll Coordinator - Kansas City, MO (Hybrid)

We're seeking a knowledgeable and motivated Payroll Coordinator to lead the daily payroll operations for our U.S.-based employees. This role is critical in supporting our dynamic and expanding workforce across multiple states, ensuring compliance and accuracy in all payroll-related matters. Key Responsibilities:


  • Process bi-weekly payroll for employees across multiple states accurately and on time.



  • Manage all payroll activities, including tax reports, garnishments, and employee deductions.



  • Monitor and process updates for new hires, transfers, terminations, and promotions.



  • Maintain compliance with payroll tax laws, labor contracts, and garnishment regulations.



  • Register and manage state payroll tax liabilities and employee tax settings.



  • Perform updates, testing, and maintenance of Payroll and Timekeeping systems.



  • Ensure W-2 reporting compliance and oversee audit preparation.



  • Work within HRIS and collaborate with HR leadership for benefits and union deduction setup.



  • Prepare payroll reports for internal and external audits (Health, Welfare, 401k).



  • Act as the subject matter expert and liaison to senior leadership for payroll matters.



  • Additional duties as needed.




Qualifications:


  • Bachelor's degree in Human Resources, Business, Accounting, or related field preferred



  • 3-5 years of multi-state payroll experience required



  • In-depth knowledge of federal and state payroll tax laws and regulations



  • Proficiency with Microsoft Excel and payroll systems (advanced Excel skills required)



  • Experience in a union environment with contract knowledge is a plus



  • Strong organizational skills and ability to manage high-volume, fast-paced payroll cycles



  • Excellent verbal, written, and interpersonal communication skills



  • Proven ability to work independently and deliver results under pressure



  • High level of confidentiality and ethical conduct
