Essential Job Duties |
- Arrange logistics for faculty hires, including scheduling interviews and coordinating campus visits.
- Assist with organizing various department events, such as conferences, workshops, and seminars.
- Assist with faculty meetings, including preparing agendas, distributing materials, taking minutes, and following up on action items.
- Assist in the planning and execution of occasional faculty retreats.
- Handle incoming phone calls to the department administration office.
- Assist with faculty onboarding and offboarding processes, arrange for parking permits for visitors, and book rooms for meetings, events, and other departmental activities.
- Maintain organized filing systems with directories, contact lists, and departmental documentation.
- Manage and track key deadlines, including annual evaluations, reappointment/promotion documents, and administrative reports.
- Draft and proofread departmental communications, including announcements and special messages.
- Assist with financial tasks such as PCard reconciliation, etc.
- Perform other duties as assigned.

Minimum Experience/Education |
Bachelor's degree and at least 3 years of related administrative experience, preferably in a university or public-sector setting; or an equivalent combination of training and experience.

- Exceptional organizational and project management skills, with the ability to multitask and manage competing priorities
- Strong interpersonal and communication skills, both verbal and written, with a professional demeanor
- Attention to detail and accuracy in record-keeping, editing, and correspondence.
- Proficiency in office software, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Zoom, and Google Workspace; experience with university systems (e.g., PeopleSoft) a Discretion and confidentiality in managing sensitive personnel or institutional information.
- Problem-solving mindset and ability to work independently and anticipate needs.
