This position provides specialized administrative support to the Program Assistant/Admissions Advisor, admissions functions, and support for other activities within the Physician Assistant Program within the Department of Physician Associate Medicine.

Examples of Duties
-
100% Administrative Support for Admissions/MSPA Program 1. Answer phone, email, and in-person questions from both internal and external customers, including potential students, regarding admission requirements, program information, Carbondale and community information, statistics on current and former cohorts, and other questions as needed related to the program, SIU Carbondale, and the SIU School of Medicine-15% 2. Collaborate with the Admissions Advisor & MSPA Faculty on the coordination of Virtual Interview Day activities, including performing oversight of technical aspects for PBL observation, program presentation, and applicant interview; create program presentations; create digital forms and informational documents for applicants; create facility virtual photo tour; video and edit faculty and staff introduction videos; create surveys using SurveyMonkey; facilitate test video calls; compile applicant resumes & poster for interviewer review; create acceptance/welcome poster-15% 3. Assist with creating and managing an electronic admissions record database; compile, update, and maintain cohort statistics, spreadsheets, and digital files; create, update, and maintain Admissions Office instruction manuals-15% 4. Utilize the CASPA platform to communicate with applicants, organize and create reports, export data, create and update email templates, assign and maintain local and final statuses on applicants, and download verified application packets. Download and print applicant documents, transcripts, emails, biographical data sheets, contact sheets, and release forms; maintain the electronic and physical files throughout the application cycle, updating files as needed. Assist the Admissions Advisor in processing applications for review as per established MSPA Program guidelines-15% 5. Create and maintain physical files on applicants for the Curriculum unit per established MSPA Program guidelines, and build and maintain master spreadsheets-5% 6. Communicate with student applicants throughout the application cycle via email, phone, CASPA, and in person, including sending documents and surveys as needed and collecting and tracking the returned documents and survey responses-5% 7. Maintain digital and physical records of Admissions Office fiscal transactions for enrollment deposits using the iPay system. Work with the SIU Bursar Office as needed with these deposits-5% 8. Create and send surveys to MSPA faculty, staff, and applicants; track and update survey data-4% 9. Track incomplete applications and communicate with applicants regarding incomplete applications; update applicant files as new documents or information are submitted-2% 10. Work with SIU Carbondale and SIU School of Medicine offices to conduct daily tasks of MSPA Program Admissions Office including the Graduate School, Registrar's Office, Bursar Office, Housing, Financial Aid, Campus Mail, Printing & Duplicating, IT, and Marketing-2% 11. Assist Admissions Advisor, MSPA Program faculty, and staff with Orientation, including scheduling, giving tours, speaking, presenting, setting up, and cleaning up, recruit volunteers from MSPA faculty and staff for assistance during Orientation-2% 12. Assist in creating pamphlets, brochures, or other collateral for the MSPA Program in collaboration with the SIU School of Medicine Marketing Department and under applicable guidelines-2% 13. Schedule and conduct facility tours with potential and current MSPA Program applicants2% 14. Relieves the Admissions Advisor of numerous personal contacts and determines an appropriate course of action-1% 15. Review incoming mail for the Admissions Advisor, selecting and responding to items within the scope of responsibility-1% 16. Maintain the alternate list and ranking of applicants from Interview Days, including tracking applicants' interest in remaining on the alternate list-1% 17. Schedule Admissions Office meetings, including the annual Admissions Committee meeting; prepare and distribute documents for these meetings; take notes and write meeting minutes-1% 18. Establishes and revises the Admissions Advisor's calendar, informing him/her/them of impending engagements-1% 19. Establishes and maintains inventory records of Admissions promotional items, conducting periodic checks for inventory control-1% 20. Attend in-person and virtual trainings on PAEA, CASPA, WebAdMIT, SIU Carbondale, and SIU School of Medicine as needed-1% 21. Perform other office functions as assigned, such as filing, scanning, shredding, data entry, handling money, computers, copy and fax machines, and printers-1% 22. When necessary, assist MSPA Program faculty and staff with proofreading, data entry, shredding, inventory, filing, scanning, and other applicable program-related tasks-1% 23. Administers test proctoring/sequestering for the MSPA students under the direction of the Curriculum Coordinator-1% 24. Performs other related duties as assigned-1%

Qualifications

- High school diploma or equivalent.
- Two (2) years (24 months) of work experience comparable to the third level of this series.
