We seek a proactive, detail-oriented, and collaborative HR Coordinator/Administrator to partner with our team of HR Business Partners across the globe and support the broader people function. Motivated by a commitment to AP's mission to advance the power of facts and uphold its organisational values, you will play a key role in delivering a high-quality employee experience at every stage of the lifecycle across all AP departments and locations.

Reporting to the Director, HRBP News, you will be instrumental in enabling the smooth running of HR operations. You will take ownership of administrative processes, draft and co-ordinate key documentation, ensure compliance and accurate record-keeping, and facilitate clear communication across HR, payroll, benefits and other key stakeholders.

With a focus on precision and efficiency, this role requires a hands-on, solutions-focused professional who thrives in a fast-paced international environment and is committed to delivering seamless administrative support as part of a high-performing global HR team.

This role can be performed on a fully remote or hybrid basis, with three days a week in one of our AP offices. We will consider applications from all locations, but candidates must hold the right to work in that location.

Key responsibilities:

* Working in partnership with HR Business Partners and Talent team to assist with the drafting and administration of employment contracts, addendums and other documentation.

* Maintaining SAP HR database, entering and updating employee information and running reports as requested by HR colleagues and other departments.

* Communicating employee changes to payroll and benefits colleagues as necessary.

* Monitoring the status of temporary employment contracts and assignments and communicating upcoming changes to relevant stakeholders in a timely manner.

* Tracking employee sickness absence, calculating sick pay entitlement and processing related documentation, liaising with managers and payroll as appropriate.

* Assisting with right to work administration, including carrying out document checks in line with local legislation, maintaining related databases and documentation, and notifying relevant parties where documents are due to expire or require renewal.

* Managing and processing invoices, including setting up new vendors and raising purchase orders.

* Carrying out reference checks and completing references in line with company policy.

* Assisting Talent team with recruitment and onboarding administration

* Providing ad-hoc support to the wider HR team on day-to-day operations and projects supporting AP's mission and priorities.

The successful candidate for this position will be:

* Highly organised with strong attention to detail.

* A clear and professional communicator (written and verbal).

* Proactive, with a collaborative approach to problem solving.

* Confident in liaising with a variety of stakeholders and managing multiple priorities/deadlines in a fast-paced business environment.

* Able to maintain confidentiality and handle sensitive employee data appropriately.

Essential criteria:

* Minimum of 1-2 years of experience in an HR Administrator/Coordinator role or similar, ideally within an international organisation.

* Experience working with HRIS systems (knowledge of SAP HR and Success Factors recruitment/onboarding platform desirable but not essential).

* Prior involvement in recruitment and onboarding processes.

* Basic knowledge of employment and right to work legislation (multiple jurisdictions a plus)

* A strong understanding of and belief in the AP's mission and the importance of independent journalism.

* Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.

* Advanced-level professional competency in written and spoken English language is required. Additional languages a plus.

Salary Range: $59K-$65K

Please note: The salary range provided for this position is a guideline for US-based candidates only. Salary ranges for candidates outside the US will be calculated in line with their location and discussed with them separately.
