AN OPPORTUNITY TO JOIN THE NPT TEAM
The Executive Assistant provides comprehensive administrative and operational support to members of the Executive Team. Key responsibilities include a diverse range of administrative and analytical tasks, such as managing correspondence, scheduling meetings, coordinating travel (both domestic and international), handling expense reports, and organizing team and group activities. This role is pivotal in ensuring efficient daily operations and facilitating communication between internal and external stakeholders.
Position requires a hybrid work model with three days in-office per week. Salary range is $64,000 - $74,000 plus 8% annual discretionary bonus.
Duties/Responsibilities:


  • Provide day-to-day administrative support, including scheduling appointments and managing meeting commitments in a dynamic environment.
  • Coordinate daily meeting schedules to optimize time management and productivity and ensure prioritization of time-sensitive matters.
  • Serve as a key point of contact for internal and external communications, including formal interactions with the Board of Trustees, clients and staff.
  • Ensure that executives are prepared for meetings and travel
  • Prepare materials and documentation needed for meetings and engagements.
  • Offer support to the front desk and assist with reception duties as needed.
  • Oversee internal and external contacts, prioritizing communication and managing follow-up activities.
  • Organize and host internal and external events, including staff luncheons and meetings.
  • Execute a variety of administrative tasks for the Executive Team, including:

    • Handling phone calls and directing them as necessary
    • Managing email communication
    • Setting up and confirming meetings
    • Coordinating itineraries, travel arrangements, and agendas
    • Drafting correspondence and reports
    • Completing expense reports
    • Maintaining files and documentation


  • Participate in ad hoc projects and assignments as needed.
  • Demonstrate flexibility in managing changing priorities, including occasional evening or weekend work during peak periods.



WHAT YOU BRING:


  • Bachelor's degree or equivalent work experience. Relevant experience may substitute for formal education.
  • At least seven (7) years of experience as an executive assistant
  • A proactive approach, with strong problem-solving skills and independent judgment.
  • Experience in financial or nonprofit/charitable organizations is preferred, though not required.
  • Strong verbal and written communication skills.
  • A collaborative, adaptable, and positive attitude with strong emotional intelligence.
  • Exceptional organizational skills, attention to detail, and ability to manage competing priorities.
  • Proven ability to handle confidential information with discretion.
  • A team player with a client-service mindset.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and Adobe Acrobat, with the ability to quickly learn new software programs.


Physical Requirements:


  • Prolonged periods of sitting at a desk and working on a computer.
