Job Summary

Coordinates and provides support to the operational activities associated to the Department of History graduate programs. Assists in day-to-day operations while responding to students, faculty and administrative inquires, maintains electronic student files and facilitates chair, faculty and Administrative/Staff requests.

  • Works alongside the Graduate Program Director (GPD), Graduate Committee, Department Chair, Graduate Faculty and the Office Manager with administrative duties. Serves as a point of contact for the department's graduate office. Serves as point of contact for graduate program communications and manages graduate-related correspondence.
  • Facilitates the dispersion of comprehensive exams, coordinates graduate and doctoral defenses, etc.
  • Maintains the graduate calendar of events, activities and appointments. Arranges all graduate level student orientations, colloquia with guest speakers, recruitment and graduate student travel, other graduate events as needed.
  • Supports and coordinates the work of the GPD including but not limited to graduate advising, including accessing PDA and Panthersoft to access student, instructor and classroom information and processes. Assists with scheduling student appointments. Supports graduate advising functions, including student record maintenance and academic program processes.
  • Coordinates all logistical matters related to the History Graduate Programs. Monitors status of Program projects. Analyzes program's needs, runs queries and oversees activities.
  • Monitors expenditures for Colloquium and Recruitment funding from the University Graduate School (UGS). Advises GPD and Administration on budgetary needs and/or discrepancies. Assists GPD with the coordination and preparation of strategic plans in support of the Graduate Program.
  • Serves as liaison between the department's Graduate Programs, SIPA Deans Office /Graduate Office, and UGS.
  • Serves as a University credit card user for the graduate program transactions. Adheres to universitys rules and regulations. Coordinates with Office Manager for monthly reconciliation of the account.
  • Oversees all travel related matters for GPD, graduate students, and guests of the graduate program. Submits travel authorization requests (TARs), cash advance requests and expense reports for travel incurred. Maintains documentation for reimbursement process and maintains communication with traveler, approvers and/or prepay auditors to ensure prompt reimbursement Handles requisitions, vendor forms and purchase orders for graduate related transactions.
  • Assists graduate students with preparation of graduate assistantship forms and other necessary paperwork for teaching assistants/graduate assistants/digital assistants/research assistants, and other similar roles. This includes assisting with credentialing graduate students as instructors. Submits GA contracts and other necessary paperwork.
  • Oversees and maintains graduate student records and evaluations. Assists graduate teaching assistants with inquiries. Maintains evaluations (i.e., student's written comments and quantitative results) for graduate teaching assistants and instructors.
  • Reviews graduate program applications for the GPD, Graduate Committee, and other pertinent faculty and staff. Supports the Graduate Committees evaluations of the files and enacts their decisions. Tracks student admission status. Advises applicants of missing documents for the Committee's review.
  • Coordinates the enrollment and registration of graduate student courses, including associating graduate students with independent studies, dissertation writing credits, and other such courses they receive permission to enroll in.
  • Coordinates annual calls and applications for departmental student scholarships and fellowships.
Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience.
