POSITION SUMMARY:

We are looking for a diligent Business Assistant to work both independently and collaboratively as part of the Health Affairs Business/Publishing team. The Business team is responsible for generating revenue from foundation grants, subscription sales, and advertising/sponsorships to support the work of the editorial and publishing operation. The Business Assistant will support the revenue generating activities of the team. Hours for this part-time role are concentrated in first half of each month, with lighter duties in the second half of the month. Flexible remote work option available.

PRINCIPAL RESPONSIBILITIES:



  • Grants: Support grant application budget preparation and filing in foundation portals. Assist with grant analysis and reporting for 25-30 foundation grants per year totaling $5-6 million.
  • Advertising & Sponsorships: Support a growing revenue channel in advertising and sponsorships with revenue tracking reports and analysis; budgeting, and contract support. Assist with tracking ad-related expenses to prepare UBIT tax filing.
  • Subscription Sales: Support journal subscription and product sales with account reconciliations and activities related to Health Affairs accounts receivables.
  • General Business Team Activities:
    • Maintain digital records and files for the team, including grants and contracts.
    • Support month-end and year-end close tasks to meet organizational timelines.
    • Support procurement policies and procedures to ensure Health Affairs' purchases are compliant. Provide support to Health Affairs staff throughout the procurement process as needed.
    • Assist with accounts payable and accounts receivable activities, ensuring proper coding and alignment with the organization's policies and procedures.
    • Contribute to the development of fiscal and project budgets and projections to help ensure the financial strength of Health Affairs.
    • Respond to and resolve information requests from colleagues, customers/funders, auditors, and others.
    • Support the Executive Publisher in analyses and special projects as assigned.

  • Other duties as assigned.



MINIMUM QUALIFICATIONS:



  • Prior experience in a relevant role in supporting business finance operations.
  • Associate degree in business, accounting or finance-related field.
  • Understanding of accounting principles and practices.
  • Highly proficient in MS software, including Excel, Word, and Outlook.
  • Familiarity with automated office and business systems, such as NetSuite.
  • Meticulous attention to detail with superb organizational skills and ability to handle multiple tasks of high priority in a professional and efficient manner.
  • Excellent communication skills, both written and verbal.
  • Ability to work comfortably under pressure, meet tight deadlines, and to respond flexibly and resourcefully to workload fluctuations and competing priorities.


PREFERRED QUALIFICATIONS:



  • Bachelor's degree in business, accounting or finance-related field.
  • Experience working in a nonprofit environment.
  • Experience working with foundation grants and system portals.
  • Experience working with NetSuite accounting system.
