Summary: The Admission Systems and Operations Coordinator will serve as the secondary database administrator for the Slate CRM, leveraging Slate to help meet all business needs. Additionally, this position will support the Scholarship Aid department in working with current and future families, administering financial aid both within Slate and the Clarity online platform in support of the Director of Scholarship Aid. Essential Duties & Responsibilities:
- Assists in performing data quality checks to maintain data integrity for the Office of Admission and Scholarship Aid. Duties include things such as:
- Cleaning up prospective student records
- Linking/managing sibling and legacy data
- Updating applications
- Updating scholarship Aid awards
- Managing event creation, registrations, and associated communications
- Revising organizational data in the Admission CRM
- Assists with data entry throughout the admission cycle, such as updating prospective student information, processing applications and materials, distributing fee waivers (SSAT and application waivers), updating applicant records, and updating enrollment information.
- Oversee the development of reports, processing capabilities, and infrastructure within Slate
- Provide regular Slate training for Admissions team members
- Process application and decision data feeds on a weekly basis
- Manage and maintain daily operations by establishing best practices and procedures with the Director of Data Management Strategy & Operations
- Build queries and reports as needed to aid the school in its recruitment goals
- Provide technical support, training, and expertise for Slate forms, application processing, electronic communication functions, portals, event management, admissions reader configuration, and other technical workflows
- Develop, modify, and maintain queries and reports in Slate to enable admissions staff to efficiently perform their responsibilities
- Perform ongoing maintenance, enhancements, and configurations to ensure reliable workflows within the CRM environment
- Assist the Director of Data Management Strategy and Operations in maintaining and updating the admission CRM as needed throughout the year with a focus on updates occurring at the beginning of each admission cycle.
- Provide administrative and clerical support for the Office of Admission. Assist with answering the phone and admission email box. Provide support as necessary for various office projects including mailings, preparing for recruitment and on campus events, and data entry.
- Provide welcoming, inclusive, and supportive administrative support for the Office of Scholarship Aid
- Primary contact for Scholarship Aid phone line and email account
- Manage processing scholarship aid applications, invoices and reimbursements.
- Communicate with current and prospective students & families with questions
- Set-up, manage, and track student accounts for students on aid (supplies & books, spending money, travel, etc.).
- Responsible for booking and tracking SA travel (hotel reservations, etc.) for events such as family weekend, graduation activities, school breaks, etc.
- Communicate important information with students and families
- Collaborate with the Communications Office, Parent Engagement Office, Dean of Students Office, and other campus partners to support institutional parent engagement efforts through onboarding communications and related analytics.
Non-Essential Duties and Responsibilities:
- The Operations Coordinator will also undertake other duties agreed upon with the Director of Data Management Strategy and Operations and Director of Scholarship Aid that would be considered within the scope of duties normally associated with the work of an Admission and Scholarship Aid Office.
- Support admission counselors in recruitment and yield events: off-campus fairs, interviewing, on-campus events, etc.
Requirements
- Bachelor's degree preferred, with at least one year of admission experience, or equivalent combination of education and experience.
- 2+ years of experience using a Customer Relationship Management (CRM) system. Intermediate to advanced knowledge of Admission CRM Technolutions, Slate is required.
- Intermediate to advanced knowledge of Microsoft products (Word, Excel, PowerPoint) and Google Suite
- Excellent verbal and written communication skills, appropriate for communicating by phone and in person with prospective students and families, volunteers, Lawrenceville faculty and administrators, and other constituents
- Able to communicate technical concepts to non-technical individuals
- Must be able to work independently or cooperatively as part of the team, as well as be able to work in a fast-paced environment and able to remain calm and collected in the face of challenging situations or customers
- Flexibility to adapt to changing needs, and an enthusiasm toward new assignments.
- Must be able to maintain a high standard of confidentiality in all matters
- Use sound judgment and adhere to existing policies and procedures
- Excellent organizational and computer skills, and the ability to multitask in a fast-paced, service-oriented environment. Keen attention to detail.
