Job Summary
Provides general secretarial and administrative support to a department, group of professionals or executive management under general supervision. Performs work that is varied and generally administrative or project oriented. Handles confidential and sensitive material. Prepares reports and financial data, training and possibly supervision of other support staff. Makes some independent decision regarding planning, organizing and scheduling work. Develops and implements systems to help streamline the department programs and functions. Works on office projects, assists customers and provides leadership to other clerical staff within the department. Directly assists the Office Leader. The salary range is $58,299 - 83,687 (12 months/260 days)

Qualifications
- A Bachelor's degree is required. A combination of education and experience will be considered.
- Three to five years of previous experience in a high-volume confidential environment is required.
- Experience with automated database and MS Office software is required, such as Excel, Word, PowerPoint, Outlook. Experience in setting up virtual meetings is preferred.
- Experience with PeopleSoft, IFAS and other software packages is highly desired.
- Previous public sector experience is desired.
Responsibilities
- Serves as the administrative assistant to the Senior Director, Department of Curriculum & Instruction
- Performs effective and efficient administrative duties for leadership including preparing correspondence, reports and presentations, filing, copying, mailing, etc.
- Assists with printing, labeling, and assembling material for distribution.
- Receives, sorts and distributes mail.
- Maintains and prepares budget records and documentation.
- Orders and maintains inventory of office supplies and forms/stationary.
- Develops, implements and revises departmental forms and brochures as needed.
- Assists with printing, labeling, and assembling material for distribution.
- Manages confidential and sensitive written and verbal communication.
- Serves as the main resource for the Department of Curriculum & Instruction and performs support functions at all levels.
- Develops and maintains databases, follow up procedures and controls for the office. Works with various department leaders to resolve administrative matters.
- Proofreads and edits documents that are developed and sent from the office/department.
- Maintains and coordinates the calendar of events for the department and works with staff to monitor tasks and coordinate workflows.
- Coordinates and maintains information for weekly meetings. Attends meetings and takes notes as directed. Prepares communications and correspondence in support of these functions.
- Manages and coordinates the departments record-keeping functions.
- Answers/responds to phone calls, voicemails and emails
- Arrange travel plans, hotel accommodations and seminar registrations as requested
- Prepares reports and information items for Electronic School Board. Undertakes research to prepare related reports and correspondence as directed.
- Ensures that the Senior Director is prepared for board item review and all committee meetings such as (Accountability/Finance & Personnel (AFP), Parent and Community Engagement (PACE), Student Achievement/School Improvement (SASI) and full board meetings).
- Performs office management functions such as payroll, budget, requisitions, inventory and other office maintenance duties.
- Coordinates the work of the department/office to ensure team tasks are coordinated and serves as back-up and consistent coverage for customer service.
- Provides exceptional customer service through positive communication and fostering a welcoming environment.
- Actively supports the MPS Strategic Plan.
- Completes other duties as assigned.
