Position Summary Information
Primary Purpose |
Under the immediate supervision of the Group Practice Manager, performs a variety of duties related to patient appointment scheduling and check-out, patient intake and registration.

Essential Functions |
- Coordinate check out for all patients, working with the student and patient to view Planned Appointments and schedule patients' next visit(s).
- Continually monitor Planned Appointment list in Axium for Group Practices, book or follow up on all planned appointments, calling patients who have pending/planned appointments and getting them scheduled.
- Serve as the main point of contact for the Group Practice's patients for appointment cancellations and rescheduling requests.
- Respond to patient calls and requests for appointments, view students' clinic schedules in Axium and schedule patients into available time slots.
- Confirm patient's contact and insurance information is complete and current as part of the patient check-out process; ensure that all necessary information is in the chart, including contact information, insurance information, photo ID and insurance card if applicable, and emergency contact information.
- Change the status of completed appointments to Checked Out, so that the chair becomes available to other students.
- Answer group practice phone calls, check voicemails, and return patient calls during non-peak patient check-out times. Forward calls to the appropriate department as needed.
- Greet all patients that walk up to the desk and assist them as needed, direct patients to appropriate clinic areas, address issues pertaining to patient concerns and customer satisfaction, refer to appropriate clinic personnel as needed.
- Work with Group Practice Coordinator and Group Practice Leader to monitor students' schedules, informing GPC/GPL of patients with repeated missed appointments or problematic behavior.
- Work with Group Practice Coordinator and Group Practice Leader to guide and coach students in best practices for scheduling and patient management. Report back to GPC/GPL any concerns about student performance or behavior.
- Maintain inventory of clinic office supplies; maintain a supply of forms needed for lab orders, test cases, record requests, or DentiCal.
- Process Record Request Forms as they are sent in, logging each request and working through the list during non-peak patient check-out times.
- Maintain a clean and orderly work area to include printer/copy areas and personal workspace, keeping area free from clutter.
- Perform all other duties as assigned by the Group Practice Manager.

Minimum Qualifications |
Knowledge of:
- Basic customer service skills and phone etiquette, Outlook email and Calendar, Microsoft Word and Excel.
Ability to:
- Communicate professionally, effectively, and courteously with patients, faculty, students,
- and staff while projecting a professional and caring demeanor.
- Maintain professionalism at all times, particularly in stressful situations.
- Apply effective patient management and time management skills.
- Follow oral and written instructions.
- Be sensitive and attentive to patient needs.
- Maintain attention to detail while working effectively and accurately with multiple interruptions.
- Type 55 wpm.
Experience:
- At least one year of experience in a dental school or dental clinic, preferably with patient scheduling experience.
Education:
- High school diploma or equivalent.
Working Conditions:
- Position is full-time, seven and one half (7.5) hours per day, five (5) days per week.
- Incumbent must be available to work varying shifts to include evenings until 9 pm.

Preferred Qualifications |
- Dental terminology desirable.
- Bi-lingual skills highly preferred (Spanish, Cantonese).
- Experience within a fast-paced healthcare environment highly desirable.
