We are currently seeking an Executive Assistant to join our team.
The Executive Assistant provides comprehensive administrative and operational support to senior executives. This role requires a highly organized and proactive individual with exceptional communication and problem-solving skills, capable of managing complex tasks, maintaining confidentiality, and interacting with high-profile stakeholders. The Executive Assistant will manage executive calendars, coordinate travel, support sales and marketing initiatives, maintain CRM data, plan events, manage projects, and provide graphic design support.
What You Will Do:
- Manage and optimize complex executive calendars, scheduling meetings and prioritizing appointments with strategic foresight.
- Coordinate and schedule internal and external meetings, including logistics, catering, and technical setup.
- Organize and draft meeting materials and ensure executives are fully prepared for meetings.
- Serve as the primary point of contact for meeting attendees.
- Process expense reports with accuracy and urgency, adhering to company policies.
- Utilize the COPA Jira application to promptly track, process, and escalate responsibilities, ensuring an efficient workflow.
- Arrange complex domestic and international travel itineraries, including flights, accommodations, and transportation.
- Proactively manage travel-related logistics and resolve any travel issues with resourcefulness and efficiency.
- Ensure executives have all the necessary travel documentation.
- Support sales and marketing initiatives by tracking potential leads.
- Facilitate pipeline follow-up and coordinate communication with prospects and clients.
- Maintain sales and marketing documents and reports.
- Maintain the Salesforce CRM database by accurately inputting and updating contact information and detailed meeting notes.
- Conduct regular data audits and run reports as required.
- Plan and coordinate all logistics for conferences and events, demonstrating proactive anticipation of needs and attention to detail.
- Maintain accurate inventory of promotional items, ensuring stock availability for conferences.
- Manage projects, ensuring timely completion and deadline adherence.
- Develop project plans, track progress, and communicate updates to stakeholders.
- Coordinate project-related meetings.
- Provide support to the Vice President, Corporate Administration, including handling ad-hoc requests.
- Develop appealing presentations, reports, and marketing materials.
- Maintain brand consistency and subject matter accuracy across soft and hard copy documents.
- Assist in the creation of visual content.
- Contribute to the office operations, ensuring a productive and efficient work environment.
- Provide backup coverage to team members as needed, demonstrating flexibility and teamwork.
What You Will Need:
- 5+ years of experience in client reporting within the investment management industry, preferably at a large buy-side or multi-affiliate firm.
- Minimum of 5-7 years of experience as an Executive Assistant or similar role supporting a team of 3-6 sales executives in a fast-paced environment.
- Proven experience managing complex calendars and travel arrangements.
- Proficiency in Salesforce or other CRM platforms.
- Advanced proficiency in Microsoft Office Suite, with a focus on Outlook, PowerPoint, and Adobe Acrobat.
- Experience with expense management apps and adherence to travel and expense policies.
- Project management experience, with the ability to manage multiple projects simultaneously.
- Exceptional organizational, problem-solving, and communication skills.
- Strong attention to detail and a commitment to accuracy.
- Ability to multitask and prioritize effectively in a dynamic environment.
- Ability to maintain strict confidentiality and handle sensitive information with discretion.
- Proactive and adaptable, with a willingness to embrace new challenges and responsibilities.
- Excellent verbal and written communication skills.

Compensation Range: $90,000.00 - $95,000.00, plus discretionary bonus.
Please note that the pay range provided is a good faith estimate for the position at the time of posting. Actual compensation will be dependent on factors, including but not limited to, the individual's qualifications, relevant experience, knowledge, skills, education, internal equity, and physical work location within the state.
This position requires working in-office in Los Angeles, CA.
