The Municipal Contract Coordinator, under general supervision, performs a variety of complex, responsible, and specialized administrative and office support functions. This position requires attention to detail and the ability to multitask throughout the day. It requires interaction with inside and outside sales staff and management team members. In addition, the main goal is to ensure accuracy in all clerical functions and communication.

Responsibilities of Position:



  • Run and complete monthly Cognos Audit reports for all municipal contracts and update accounts accordingly.
  • Answer phones promptly and courteously, utilizing company procedures.
  • Enter all monthly billing updates into iPak before billing and ensure all invoices are mailed by month end.
  • Process all price increases, fuel adjustments, tonnage updates, etc.
  • Audit all municipal billed accounts and invoices for accuracy.
  • Utilize computer systems and tools to prepare monthly billing reports (Cognos).
  • Review all Municipal SMS orders submitted by the sales team for accuracy and standardization.
  • Ability to build relationships with key contacts internally and externally.
  • Ability to understand and work with complex internal reports.
  • Work in conjunction with other departments to resolve customer billing/service issues.
  • Maintain a positive work atmosphere by performing and communicating in a manner that promotes good relationships with customers, clients, co-workers, and management.
  • Assist municipal sales reps as needed.
  • Perform all tasks safely and accurately in compliance with all local, state, and federal regulations and company policies.
  • Other duties and special projects as assigned.

  • Must be able to maintain a high level of confidentiality.
  • Must possess excellent verbal and written communication skills.
  • Excellent data entry skills and system knowledge.
  • Must have excellent customer service skills with a professional demeanor and telephone etiquette.
  • Must have a positive attitude.
  • Strong problem-solving skills.
  • Strong organizational skills, detail-oriented.
  • Self-motivated and capable of working independently and as a team.
  • Ability to work in a fast-paced environment while maintaining accuracy.



Experience & Knowledge Needed for Position:



  • Proficient knowledge of Microsoft Office applications.
  • Experience with Rumpke applications - Ipak/Cognos a plus.
  • Waste and recycling industry experience preferred.



Physical Requirements in a Regular Workday:



  • Rarely lifting/carrying/pushing/pulling a max of 10 lbs.
  • Continuously sitting/standing/walking in an office environment.



Additional Working Conditions/Aspects:



  • Legally eligible to work in the United States.
  • Valid driver's license (if applicable).
  • Must successfully complete pre-employment testing.
  • Must be able to read and speak the English language.
