Job Description:

The Project Support Services Administrator is responsible for executing tasks associated with construction phase support and procurements of equipment, material, goods, and services. The position supports data collection and generates reports. The position can be located in Chico or Torrance.

Essential Job Functions:

  • With direction from others, executes tasks associated with procurements of equipment, material, goods, and services.

  • Processes purchase requests (requisitions and change orders) in Cal Waters financial and procurement system (PeopleSoft).

  • At the direction of others, Executes tasks and reporting associated with vendor records and database upkeep and status assessment and onboarding.

  • Participates in the improvement of procurement program policies, procedures, processes and guidelines.

  • With direction, executes reporting to support the tracking of procurement support request tasks to track the team's support level-of-service and performance.

  • Runs standard reporting for internal and externals stakeholders.

  • With Direction, develops monthly Construction Phase Cost and Schedule Risk Report (CPCSR).

  • With Direction, completes tasks associated with lessons learned logging, tracking, and reporting.

  • Runs standard reporting for internal and external stakeholders associated with construction phase support.

  • With direction from others, executes tasks associated with process and procedure development and, documentation, and implementation for construction phase support.

  • With direction from others supports data collection and runs key construction phase KPI reporting.

  • With direction from others executes tasks to collects end of project performance data (Project 360) and generates reporting.

  • With direction, executes logging of preliminary and stop notices associated with mechanics lien risk management.

  • With direction, runs reporting to ensure as-built submittal.

  • With direction, runs reporting to ensure asset recording.

  • With direction, runs reporting to ensure timely closure of projects and to support closeout activities.

Qualifications/Requirements:

  • High school diploma or General Education Development (GED) equivalent.

  • Experience with job-related software and hardware.

  • Properly prioritizes and documents work.

  • Technical knowledge and ability needed to complete the job assignments.

Knowledge/Ability:

  • Ability to execute tasks per established procedures and accurately input and process data.

  • Working knowledge of Powerplan, Peoplesoft, Bonfire, and AVETTA.

  • Knowledge and ability to use Microsoft Office applications to create spreadsheets, presentations, and Word documents including Outlook, Word, Excel, and PowerPoint.

  • Ability to perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines.

  • Demonstrated troubleshooting and problem-solving skills.

  • Demonstrated time management and organizational skills.

  • Demonstrated excellence in customer service practices and telephone communication etiquette.

  • Ability to communicate and maintain effective working relationships with those contacted in the course of work.

  • Exercises good judgment to prioritize assignments and work in order of urgency and sensitivity.

Desirable Qualifications:

  • Certification as a Water Distribution or Water Treatment Plant Operator.

Salary Range: $43.23 - $49.89
