United Way of Greater Milwaukee & Waukesha County is currently seeking applicants for our 2025 Volunteer Engagement Seasonal Staff position. The Volunteer Engagement Seasonal Staff starts with United Way on Tuesday, August 5th.

Summary:

United Way of Greater Milwaukee & Waukesha County (UWGMWC) is currently seeking applicants for a 2025 Volunteer Engagement seasonal staff member to support logistics of volunteer projects and events. This role is a full-time (37.5 hours per week) temporary position from August 5th - December 12th.

This position will balance spending their time at the United Way office and off-site at workplaces and community organizations, supporting a variety of administrative/logistics tasks and event-related projects.

Responsibilities and Essential Job Functions:

Event Management and Support:




  • Assist with the delivery, set-up of supplies, and volunteer event management and facilitation for on-site kit packing and custom projects at local workplaces and signature events.





  • Support pre- and post-event volunteer communications to share logistics with customers and donors and secure event outcomes.





  • Support signature volunteer events including assistance with event logistics, registration, prep tasks and materials oversight.





  • Lead presentations at local workplaces and/or present volunteer instructions to groups of all sizes, as needed.




Supply, Inventory and Logistics Management:




  • Inventory and stage volunteer project supply orders when delivered to United Way to ensure supplies are organized for future volunteer events.





  • Support supply drives that occur during the fall campaign timeframe including delivery and pick-up of supply bins, inventory management, valuation of product, and delivery to recipient organizations.





  • Drive the Volunteer Van (cargo van) and support with transport and delivery needs.




Community Engagement and Outreach:




  • Visit volunteer projects and provide a United Way welcome and overview at the start of volunteer activities as needed.





  • Manage promotional booths/tables at community-wide and company-specific events promoting volunteerism, as needed.





  • Assist in the promotion of all signature volunteer events including actively recruiting volunteers, sending targeted email solicitations and reaching out to new audiences.





  • Assist in the development of promotional materials for volunteer recruitment and awareness for all large events.





  • Research and present best practices from similar-sized United Way's for the teams review and consideration.




Administrative Support:




  • Support United Way staff team in the implementation and execution of the annual Holiday Giving Tree program supporting data entry and distribution of information to nonprofits and corporate groups as well as gift purchasing assistance as needed.





  • Support reception desk coverage at United Way's Volunteer Center as needed.





  • Assist with the administrative affairs of the Volunteer Engagement Division, including general organizing, project planning, scheduling, basic business correspondence, and follow-through.





  • Support United Way's Diaper Bank efforts as needed.




Communication and Coordination:




  • Research and prepare volunteer project menu options for corporate and community groups.





  • Conduct reminders and check-in calls to volunteers and/or volunteer coordinators.





  • Assist with coordination and recording of details for volunteer, corporate, and campaign activities as assigned.




Technical Skills and Tools:




  • Use Microsoft 365 including Word, Excel, PowerPoint, and Outlook for effective division administration.





  • Assist with coordination of details for volunteer, corporate, and campaign activities as assigned.





  • Experience in writing basic promotional copy, developing Powerpoint presentations and social media content preferred.




Education and Experience Requirements:




  • 1-2 years of experience in completing a variety of administrative tasks and managing varying sized projects and events in a professional environment.





  • Associate or bachelor's degree preferred.





  • Valid driver's license, reliable automobile, and auto insurance coverage. (Ability to and comfort with driving company cargo van to meetings, appointments, and events, likely several times per week.)





  • Ability to lift volunteer project supplies and donations and to walk, sit and stand for extended periods.





  • Use Microsoft 365 including Word, Excel, PowerPoint, and Outlook for effective division administration.





  • Experience in data entry, event management and customer service highly preferred.





  • Demonstrated success in customer service and relationship building.





  • Strong comfortability with public speaking and actively energizing all size groups.
