DESCRIPTION

Under the general supervision of the HR Senior Analyst, the Business Services Coordinator provides comprehensive administrative and operational support to Student Life (Basic Needs, College Corps, Center for Student Involvement (CSI), Graduate Professional Student Association (GPSA),Campus Performance and Events Office (CPEO),Stuart Initiatives, Student Governments, Auxiliaries, and Service (SGAS), Student Legal Services, and University Centers. This role is dedicated to delivering exceptional customer service, streamlining administrative processes, and enhancing overall efficiency.

As the primary point of contact for inquiries and issues received via ServiceNow tickets, Zoom drop-ins, and in-person consultations, the Business Services Coordinator ensures timely and effective resolution. Leads initiatives to improve operational workflows, oversee HR and payroll functions, and analyze data to drive continuous improvement. Additionally, responsibilities include budget monitoring, expense tracking, and ensuring financial compliance. Works independently, manages multiple priorities effectively, and upholds strict confidentiality while supporting the evolving needs of the Student Life Business Office.

QUALIFICATIONS
  • Working knowledge of customer service best practices, including handling challenging customer interactions, issue tracking, and resolution strategies.

  • Experience using a ticketing platform (e.g., Zendesk, Freshdesk, ServiceNow) and understanding of ticket management, escalation protocols, and reporting.

  • Working knowledge of survey software tools (e.g., SurveyMonkey, Qualtrics, Google Forms) to gather immediate customer feedback. Skilled in designing, distributing, and analyzing post-interaction surveys to track customer satisfaction and identify opportunities for service improvement.

  • Proficient in updating and managing website content using content management systems (CMS), with an understanding of best practices for maintaining accurate, user-friendly, and accessible web content.

  • Solid organizational skills and ability to multi-task with demanding timeframes. *Working organizational skills to work on multiple projects with competing deadlines, to establish goals and workload priorities, and to meet project deadlines within budget and time constraints..

  • Ability to use sound judgment in responding to issues and concerns. * Proven experience in the administration and application of best practices of multiple human resource disciplines, including but not limited to payroll/timekeeping, recruitment, & classification/compensation, and benefits.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. * Ability to comprehend, interpret and effectively explain a wide variety of complex and detailed personnel policies and procedures. Excellent customer service and team skills to cooperatively and productively define and resolve problems. Demonstrated ability to work positively as a team member and demonstrate flexibility in accomplishing departmental goals.

  • Working knowledge of common organization-specific and other computer application programs.

  • Knowledge of a human resources management system (HRMS), and / or other related business software programs and systems.

  • Ability to use discretion and maintain confidentiality.

  • Working knowledge of UKG Workforce Dimensions software, including its modules and functionalities.

  • Demonstrated ability in directing staff to various resources to complete mandated compliance training. Skills to identify resources and engage with appropriate staff to provide necessary accounts.

Pay Transparency Act

Annual Full Pay Range: $66,252 - $102,416 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $31.73 - $49.05

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
