DESCRIPTION

Enrollment Management (EM) is a multi-unit department within the Office of the Executive Vice Chancellor-Academic Affairs. The department is led by the Associate Vice Chancellor for Enrollment Management (AVC EM), who serves as the Chief Enrollment Officer and Chief Outreach Officer of the University. EM comprises multiple high-profile, core functional units including: the Office of Undergraduate Admissions, Office of the Registrar, Financial Aid & Scholarships Office, Cal-SOAP, Creative Services, Enrollment Analytics, and the Business Office. We work to advance the academic and public service missions of UC San Diego by ensuring equitable access to education and empowering students throughout their educational journeys.

The Office of the Registrar supports the instructional missions of the University by providing core enrollment service to students, faculty, colleges, academic departments, professional schools and summer session in the areas of academic records, class scheduling, registration, and degree audits.

Working independently under the general supervision of the Assistant Registrar, Enrollment Services, the Athletic Certification Officer determines the athletic academic eligibility of student athletes for competition in the NCAA in collaboration with Intercollegiate Athletics (ICA), Undergraduate Admissions, academic advisors, and a broad set of campus stakeholders.

This Athletic Certification Officer is critical to maintaining compliance with NCAA rules and regulations, and requires an in-depth understanding of NCAA Division I rules and regulations, Big West Conference bylaws, and UC San Diego academic regulations and policies. The incumbent must maintain documentation of information used to make determinations in accordance with institutional and NCAA requirements and develop procedures and business processes related to the athletic certification process. Responsible for utilizing uAchieve to process certifications and provide the uAchieve team with feedback to ensure the accuracy of degree audits.

QUALIFICATIONS
  • Thorough knowledge of policies, regulations, and practices with student records services. Knowledge of data processing principles and their applications in an educational environment. Understanding of NCAA Division I eligibility requirements and principles.

  • Strong organizational skills and ability to prioritize work and meet deadlines. Demonstrated ability to effectively budget time over long periods and plan for cyclical periods of high volume work. Demonstrated ability to handle multiple assignments and tasks. Ability to work with frequent interruptions.

  • Ability to apply thorough knowledge of policies to a variety of individual situations. Recommends procedures to ensure compliance in a diverse learning community. Ability to dynamically apply complex regulations and anticipate potential problem situations in the future.

  • Strong problem identification, critical thinking, and problem solving skills; judgment and decision-making ability. Ability to assess processes and implement improvements.

  • Ability to work with people from diverse cultures. Utilizes excellent constituent service skills with all interactions. Ability to counsel, advise, educate staff and administration, make referrals for students and staff over a wide range of subjects, with good communication skills while utilizing professionalism and confidentiality. Be able to counsel and handle difficult situations with sensitivity and responsiveness to student needs and knowing when to make appropriate referrals if needed.

  • Thorough knowledge of University policies, processes, and procedures and of Federal and California laws pertaining to the privacy rights of students and access to student information.

  • Thorough knowledge of particular Registrar core functions (e.g., degree requirements, special enrollment, veterans' benefits, and residency). Demonstrated ability to analyze impact of proposed curriculum and policy changes on enrollment services, and other registration functions.

  • Strong written and verbal communication skills. Active listening skills. Customer service orientation. Interpersonal skills. Demonstrated ability to clearly present eligibility concepts to diverse groups of people.

  • Thorough knowledge of common University-specific computer application programs and productivity software.

  • Strong ability to establish and maintain cooperative relationships with campus departments, UC campuses, and external agencies.

  • Thorough knowledge of advising and counseling techniques.

  • Ability to analyze and evaluate the effectiveness of processes and to make recommendations for process improvement. Demonstrated ability to write recommendations and present for review and implementation. Strong ability to develop and design written training materials for disseminating policy and procedures with the goal of the overall improvement of staff expertise and knowledge and of service to students and throughout campus.

  • Strong ability and skills to analyze enrollment trends and provide benefit information to a broad range of campus officials regarding students.

SPECIAL CONDITIONS
  • Job offer is contingent upon a satisfactory clearance based on background check results.

  • Duties may require direct contact with children (defined as individuals under the age of 18).

  • Completion of the Child Abuse and Neglect Reporting Act (CANRA) form is required.

  • Available to work evenings/weekends during peak periods; some domestic travel may be expected.

  • Must be prepared to provide the best customer service and student support experience to all stakeholders.

Pay Transparency Act

Annual Full Pay Range: $63,800 - $111,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.56 - $53.45

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
